Description

I. Purpose & Summary of Position

The Texas Council on Family Violence is the only 501(c)(3) nonprofit coalition in Texas dedicated solely to creating safer communities and freedom from family violence. With a state-wide reach and direct local impact, TCFV, with the collective strength of more than 1000 members, shapes public policy, equips service providers, and initiates strategic prevention efforts.

The Public Policy Administrator Coordinator directly reports to the Director of Public Policy. This position primarily supports the administrative functions of the policy team and staff, committees, and work groups as assigned. The coordinator assists the Public Policy Team with efforts to aid family violence programs and allied professionals to enhance the safety of survivors.

II. Essential Responsibilities/Duties

  1. Administrative: 85%
  • Provide administrative supports, including entry and development of documents in Coalition Manager (CM). Supports the team in the creation of training registrations/webinar announcements and uploading materials and recordings to CM.
  • Collaborate in the planning and implementation of policy team events and projects, including, but not limited to: Capitol Day, Staffer Day, Public Policy Committee meetings and team-development retreats/trainings and other administrative duties for team projects.
  • Create, maintain and report CEU, CJE, and CLE files for policy team projects.
  • Facilitate tech support for policy team projects.
  • Take notes for meetings as requested; prepare and assemble handout materials particularly for hearings on short notice.
  • Schedule team-related meetings for Policy staff and assist in meeting coordination as requested by the Director of Public Policy or other team members.
  • Participate in planning, development, and implementation of special projects as requested and assigned.
  • Assist with compiling and ordering educational materials, toolkits, manuals, and other public-awareness materials.
  • Assist in developing and maintaining administrative files and databases, in coordination with the team, for Policy team projects including Policy listservs and Coalition Manager.
  • Attend required meetings and other events, in person or virtually, as needed.
  • Manage Policy team mailings as requested. Arrange for specific project supplies as needed for the Policy Team.
  • Policy Coordinator will work with the Policy Director to help onboard new Policy team members in the areas of IT, administrative protocols, list-serves, general coalition manager maintenance and other relevant systems.
  • At the direction of the Public Policy Director work with the policy team to identify additional ways that this position can support additional administrative needs on the work plan.
  • Supports and manages other duties as assigned or that arise during department operations as requested.
  • Works in connection with other teams to assist in distribution of the Technical Assistance line.

B. Systems Advocacy Efforts

  • Support the Director of Public Policy with legislative advocacy related efforts as requested.
  • Research information to respond to technical assistance where applicable.
  • Participate in Telicon review and policy team on-call schedule.

Hourly Salary Range: $24.48 - $26.45

 

Qualifications

III. Minimum Knowledge, Skills, and Abilities Sought

  • Texas residency required. This role is a hybrid remote job and requires in-office responsibilities on a periodic basis.
  • Hybrid staff are also expected to travel and attend in person activities associated with their job descriptions and duties. Outside of these expectations, hybrid staff work remotely within the state of Texas. This role is frequently at call of office and Capitol duties during the regular Legislative Session.
  • Minimum of two years of administrative coordination experience.
  • Excellent written and oral communication skills, with grammar and spelling skills suitable for publication and/or presentation to internal and external audiences.
  • Proficient to expert skills working with Microsoft Office and Adobe applications. Must be comfortable in learning and adopting new computer applications and technology systems as needed. Ability to be trained, to a proficient level, in administering the agency’s Coalition Manager system on behalf of the Policy department’s initiatives.
  • Ability to manage time and complete multiple activities and projects within given time frames.
  • Diplomatic communicator willing to work with varying stakeholders.
  • Experience in using office equipment including telephone system, copier, scanner, printer.
  • Experience in developing and managing a variety of filing systems. Excellent organizational, record-keeping, and independent job-structuring skills.
  • Ability to respond with sensitivity and awareness to those with diverse cultural, ethnic, and social backgrounds, values, attitudes, and languages.
  • Regular, predictable attendance is required.

Preferred Qualifications

  • Working knowledge of Qualtrics or Tableau and acumen using the systems to collect and report data.
  • Bachelor’s Degree. We will consider a combination of education and related experience. (Equivalency formula: two years of experience is equal to one year of education.)
  • Bi-lingual English/Spanish language a plus as is any bi-lingual / bi-cultural lived experience.
  • Experience incorporating the perspectives of multiple communities, including BIPOC survivors, advocates, and stakeholders in the consideration of impacts and outcomes of a decision-making process
  • Experience providing direct services to individuals affected by domestic violence preferred.
  • Project management experience preferred.
 

IV. Working Conditions and Environment/Physical Demands:

Ability to communicate and converse in English. Travel up to 25% during non-legislative session times. Ability to frequently tolerate prolonged stationary positions and frequently move about a large public building. Ability to engage in frequent public contact and training. Professional attire may be required for most public-facing work. Ability to work in or from a remote location or from a home-based office. Must possess the emotional and physical stamina to deal with a variety of high-pressure situations, such as: responding to complaints, handling difficult internal and external interaction, effectively working long and, at times, odd hours which could exceed 40 hours or include weekends as necessary, especially during the legislative session.
