Description

I. Purpose & Summary of Position
The Membership Manager works on the Fund Development team within TCFV, reporting to the Director of Fund Development. The Membership Manager manages all membership responsibilities such as focusing on cultivating relationships with current and potential (individual and organizational) members, and developing services that enhance membership recruitment, retention, and engagement. The Membership Manager works closely with the Fund Development Director, CEO, Programmatic Directors, Membership Committee and keeps all TCFV staff informed of the importance of membership. The Membership Manager plans and attends events to promote TCFV membership.
 

II. Priority Functions and Accountabilities:
A. Member Recruitment, Retention and Engagement: 30%

• Ensures that all membership processes follow TCFV Bylaws and Membership Policies and Procedures.
• Maintains accurate member data profiles, including accurate list of organizational members on the website and on printed materials.
• Develops efforts to promote and increase member services and benefits.
• Identifies areas of improvement for the membership services including membership benefits, webpage, and database.
• Recruits new sustainable members by strategically reaching targeted markets.

B. Membership Communication: 25%
• Creates and distributes monthly membership newsletter and highlights member accomplishments, member benefits and TCFV trainings.
• Updates and distributes the TCFV Service Directory on a yearly basis.
• Maintains accurate TCFV regional membership map.
• Leads regular statewide virtual CM meetings and office hours to inform members how to utilize benefits such as CM member portal, payment options and job board.
• Returns calls in a timely fashion and provides accurate information.

• Develops membership marketing materials.
• Contributes to the creation of new public awareness materials including DVAM activities, membership brochure, and end of year membership report.
• Collaborates with TCFV teams to identify relevant topics and writes compelling content for TCFV’s communications to expand TCFV’s reputation as the statewide expert and a national leader on domestic violence topics.

C. Event Development and Coordination: 10%
• Plans, organizes, and attends the annual general membership meetings and membership events.
• Attends TCFV conferences and other designated external events and staffs the membership table.
• Plans, collaborates with Director and attends with TCFV Area Directors nine annual regional membership meetings.
• Plans and collaborates with Fund Development Director on fundraising events and special fundraising campaigns throughout the year.

D. Financial / Administrative: 35%
• Maintains effective recruitment, renewal, and payment processes.
• Provides regular and accurate invoices to members utilizing the agency’s database.

• Prepares quarterly payment, membership reports and agenda for TCFV Membership Board chair and committee.
• Creates and distributes TCFV Board Slate per TCFV bylaws, prepares results of final vote to Director and CEO.
• Utilizes agency’s resources responsibly.
• Ensures timely and accurate reporting of grant activities, including contributing information for the agency’s funding applications.
• Ensures timely and accurate submission of evaluations, reports, and timekeeping documentation for accurate allocation, as well as other documentation as requested by the director.
• Actively participates in agency wide efforts in the development of work planning.
• Prepares, manages, and adheres to annual budget for membership project activities.• Ensures members complete payment within the calendar year or complete a waiver request to obtain the budgeted membership revenues.
• Submits membership reports to CEO and Director as requested and immediately informs of deviations from expected membership.

Salary Range $61,000.00 - $66,000.00

Required:
• Texas residency required. This role is a hybrid remote job and requires in-office responsibilities on a periodic basis.
• Hybrid staff are also expected to travel and attend in person activities associated with their job descriptions and duties. Outside of these expectations, hybrid staff work remotely within the state of Texas.
• A willingness and propensity to support the agency’s mission. Knowledge of the perpetration of power and control oppression and violence, or the commitment to learn the content.
• Critical analytical skills to understand the political, social, financial, and external issues affecting service providers; ability to foresee and interpret trends and the dynamic changing needs of TCFV members and to develop processes and resources to respond effectively and in a timely manner.
• Through knowledge of serving membership associations and a minimum of two years’ experience in managing and supporting membership associations, such as recruiting, engaging, and retaining members.
• Working knowledge of Microsoft Office Suite and demonstrated ability to learn new membership management software as needed.
• Communication skills that analyze for audience and purpose, are suitable for presentation and written publication, and strong presentation skills and public speaking abilities.
• Exceptional interpersonal skills to elicit commitment to and advancement of TCFV’s mission and vision both internally and externally, and to respond diplomatically to challenging issues.
• Strong team building, leadership, and project management skills to effectively guide statewide responses to changing environments.
• Self-starter, energetic, able to work independently, enjoys creating and implementing new initiatives, and thrives in a dynamic environment.
• Demonstrated ability to work under tight and/or changing timelines with adaptability, flexibility, and attention to detail.
• Strong time management skills to coordinate and prioritize own and others’ activities, evaluate progress, and to allocate resources to complete activities with set deadlines.
• Ability to travel in congruence with TCFV’s staff travel policy to multiple locations across the state to provide onsite membership services, such as hosting regional membership meetings, attending TCFV and external events to enhance and promote TCFV membership.
• Bachelor’s Degree in a related field or any combination of related education and/or experience with a documented record of the ability to perform duties and responsibilities of the position.
 

Preferred:
• Bi-lingual, with Spanish language skills.
• Previous experience working in a domestic violence or non-profit agency.
• Three years of experience in membership management.
• Two years of supervisory or people management experience.


IV. Working Conditions and Environmental and Physical Demands
Ability to communicate and converse in English. Travel up to 25%. Ability to frequently tolerate prolonged stationary positions and frequently move about a large public building. Ability to engage in frequent public contact. Professional attire may be required for most public-facing work. Ability to work in an office-setting, and a remote location. Must possess the emotional and physical stamina to deal with a variety of high- pressure situations, such as: responding to complaints, handling difficult internal and external interaction, effectively working long and, at times, odd hours.
