Description

Maintenance and monitoring of office supplies, typing, filing, word processing, reception, answering the telephone, assisting in preparations of reports, distribution and collection of program information, Xeroxing, data entry and compilation, general office management and performing all other critical duties related to program operations.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Type all major reports within set time frame.
  • Create spreadsheet to track staff trainings and ensure the trainings/certificates are placed in staff personnel files
  • Keep Director's daily appointments up to date.
  • Use tracking system to monitor office supplies, and maintain the storage areas
  • Supervise maintenance the office and ensure that it is kept clean.
  • Prepare purchase orders and submit to fiscal department.
  • Monitor and prepare petty cash voucher and submit for reimbursement.
  • Track Metro Cards disbursement to staff /Peers and submit voucher for replacement.
  • Prepare Food Pantry referrals for clients and collaterals.
  • Act as receptionist to clients/visitors to the program portraying a welcoming non-judgmental attitude.
  • Attend training in keeping with Program Assistant functions
  • Perform any program- related task assigned by the Program Director

Ensure the Information Board always has current information displayed.

  • Assist Substance Users and their immediate families to gain access to needed Health Care and Social Services.

  • Compile and prepare necessary reports and statistics for program.

  • Provide information and referral services including intake, problem identification, health assessment, education, and follow-up actions.

  • Attend education/training programs and community meeting events as requested

Qualifications

A High School Diploma, General Education Diploma or Associate Degree. A minimum of one-year experience in office management skills, Computer Literate, Knowledge of Word Perfect, MSW, typing skills of 60 wpm. Excellent writing skills, interpersonal skills, ability to set priorities, and work under pressure.
