Our Legal Secretaries assist our attorney teams with their scheduling and daily administrative needs in order to allow our timekeepers to use their billable time effectively. Our Legal Secretaries focus primarily on transcription but operate at a high degree of technical proficiency, have a passion for organization and efficiency and are solution oriented. Candidates should work well both independently and within a team to assist our attorneys in scheduling, calendaring and the production of documents.
Roles & Responsibilities:
- Manages the dictation of assigned attorneys and paralegals by transcribing directly
- Sort, distribute, and manage incoming and outgoing mail and deliveries at the office as part of on-site responsibilities (this is a hybrid role that requires daily in-office presence for mail handling)
- Reviews and saves incoming mail, emails, and faxes
- Assists assigned attorneys with their schedules and scheduling
- Assists with client billing and attorney travel and expense reports
- Reviews and edits client bills during monthly prebill process
- Assists with opening, maintaining, and closing files
- Responds to record and legal documentation requests, as needed
- Answers phone calls, takes messages or transfers calls to appropriate parties
- Submits vendor invoices for payment
- Drafts and updates client budgets
- Works with highly confidential information and always maintains utmost confidentiality
- Acts in a stewardship capacity for MVP, works as a genuine, confident, functional member of the team, is hardworking with the ability to be innovative and firm focused in alignment with our core values
