Position:    Administrative Assistant

 

Department:   Office of the University General Counsel

Position Summary

The Administrative Assistant for the University General Counsel is tasked with the daily management of the Office of the University General Counsel. The ability to multi-task is key for this position. The Administrative Assistant is the administrative project lead for several General Counsel initiatives and must also manage the University General Counsel office.

 

Responsibilities

  • Administrative project lead for:
    • NGUleads
    • Critical Incident Planning and Effectiveness Team
    • Crisis Management Team
    • Policy Catalog
    • Title IX
    • Clery
    • Hazing Act
    • Compliance
  • Manage office procedures using University resources and tools:
    • Purchase Order/Requisition Process
    • Manage Budget Procedures
  • Responsible for reviewing, tracking, and monitoring legislation.
  • Drafting, filing, and managing various documents.
  • Organize and maintain documents in paper or electronic filing systems.
  • Write or summarize reports.
  • Responsible for scheduling appointments, answering calls, taking messages, etc.
  • Maintain the University General Counsel’s calendar and schedule.

Physical Requirements

  • Visual Abilities:  Read reports and use a computer system.
  • Hearing:   Hear well enough to communicate with co-workers, third parties, and students.
  • Dexterity, Grasping, Feeling, Write, type, and use the telephone, copier, and computer systems.
  • Mobility:  Open files and operate office machines; move between departments.
  • Talking:  Frequently convey detailed or important instructions and ideas accurately, loudly, and/or quickly.
  • Cognitive/Emotional: Ability to critically think and concentrate. Must be able to respond quickly to changes in conditions to 75 to100% of the time.

Working Relationships:

  • This is a full-time exempt position with the University General Counsel’s Office.
  • The Administrative Assistant reports directly to the University General Counsel.

Work Schedule:

  • M-TH: 8:30 a.m. to 5 p.m. Friday: 8:30 a.m. to 12:00 p.m.  Some flexibility in the schedule may be possible.

Travel:

  • Minimal

Qualifications

  • Bachelor’s Degree and/or Associate’s degree.
  • Ability to handle sensitive information and maintain a high level of confidentiality.
  • Ability to work in a fast-paced environment, manage multiple tasks and rapidly reprioritize based on changing needs.
  • Professionalism in all aspects of the position.
  • Ability to organize information logically and effectively.
  • Strong written and verbal communication and interpersonal skills are essential including teamwork, managing conflict and creativity.
  • Excellent computer skills and demonstrated ability to learn new computer applications.
  • Experience securing data, creating folders, filing, and archiving.
  • Member in good standing at a local evangelical church.
  • Affirmation of the Baptist Faith and Message 2000.
  • Affirmation of the Statement on Human flourishing.
