Description

The HR Generalist serves as a subject matter expert for all Convivial Brands talent acquisition, onboarding, worker’s compensation claims, and leave of absence (LOA) coordination, and claims.

This is a full-time, on-site position based at our corporate headquarters in Grand Rapids, MI.

Qualifications

Principal Duties and Responsibilities:

Talent Acquisition and Onboarding:

  • Facilitates the engagement of candidates throughout the recruitment process, from application to job offer, including tracking the status of candidates in the ATS and notifying candidates of any updates during the process.
  • Oversees onboarding for new hires, including onboarding in the HRIS system, pre-employment tasks, ensuring I-9’s are completed timely, and providing new hire orientation.
  • Partners with department leaders to create and document departmental onboarding and orientation.
  • Owns the applicant tracking system (ATS) and partners with HRIS owner to build out and maintain the ATS in the HRIS.
  • Creates relationships with universities and colleges for all Convivial Brands companies and areas of focus.
  • Partners with Marketing to identify the best practices for utilizing social media (LinkedIn, Indeed, Facebook, TikTok, Instagram, etc.) and other platforms to attract passive candidates and develop strong employment branding.
  • Create and own an internship program.
  • Participates in succession planning projects.
  • Supports the HR Manager with grant administration when applicable.

Leave of Absence Administration:

  • Effectively oversees administration of leave of absence policies and compliance with organizational policies and applicable laws as it pertains to FMLA, ADA, LOA, STD.
  • Documents the process for the various types of LOAs.
  • Creates and trains team members and leaders on Convivial Brands LOA policies and procedures.
  • Timecard administration: Enters PTO or Sick Pay time for employees off on a leave of absence to run in conjunction with FMLA or their personal leave.
  • Daily management of all leave of absences to include issuance of paperwork, tracking deadlines, following up with medical providers, monitoring benefit premiums, maintaining communication with the employee and their supervisor/s.
  • Manages and tracks FMLA/LOA and STD claims.
  • Creates a Leave of Absence Guide for team members, leaders, and HR to include policies, processes, and expectations for all groups.
  • Partners with the HR Manager to ensure job descriptions are up to date and accurate for leave administration.

Workers Compensation Injury and Claims:

  • Submits team member workers compensation injury claims to vendor in a timely manner.
  • Serves as the injured employee’s contact at Convivial Brands; responsibilities include injury reporting to RTW, referring cases to the Occupational Health provider when appropriate; contacting providers to clarify information and follow-up; contacting the supervisor for return to work and coordinating transitional work or light duty, etc.
  • Ensures regular communication with claimants to obtain information to reduce liability.
  • Documents and trains all team members and leaders on their areas of responsibility and ownership as it pertains to reporting injuries, submitting claims, root cause/corrective action of the injury, and follow up training.
  • Educates the team members and leaders regarding the workers compensation leave process, as well as managers/supervisors of their role.
  • Ensures OSHA injury/illness records (300A, 300, 301) are completed on time, maintained for annual reporting, and required posting.
  • Recommends new approaches, policies and procedures to effect continual improvements in efficiency of department and services performed.

Other HR Duties:

  • Participates actively to support team member engagement activities, projects, initiatives, etc.
  • Serves as a backup for the HR Generalist who focuses on payroll and benefits.
  • Completes all other duties as assigned.

Required/Desired Qualifications:

Education, Training, and Experience:

  • Bachelor's degree in Human Resources or other related field; or equivalent combination of relevant education and experience preferred.
  • HR certifications related to responsibilities is a plus.
  • 3-5 years of Human Resources work experience, including experience in talent acquisition, leave of absence administration, and workers compensation administration.
  • 3-5 years of experience building out and working in an HRIS system with an applicant tracking system required.
  • Experience administering state-regulated workers compensation and disability administration claims.
  • Experience working for a multi-state organization is a plus
  • 3-5 years of experience with full-cycle recruiting practices
  • Experience with Applicant Tracking Systems (ATS) is required; familiarity with the Paycom ATS is a plus.

Specific skills, Knowledge, and Abilities:

  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint, as well as experience using HRIS systems.
  • A high level of customer service skills to establish and enhance positive relationships with employees, co-workers, candidates, and others.
  • Computer literate with the ability to learn new software applications.
