General Function:

Under the general supervision of the Regional Program Manager, the SUN Site Manager is responsible for day-to-day operations, including but not limited to: safety of students, collecting attendance, schedule/school building logistics, and the recruitment, hiring, training, and supervision of program staff. There will be a strong collaboration with the Successful Families Program Coordinator and the SUN Youth Advocate (SYA) to bring targeted and widespread support to students. The Site Manager builds and maintains relationships by clearly communicating, achieving set goals, and collaborating with the students/families, school day staff, and community partners. The Site Manager creates and maintains a long-term vision for the program in collaboration with the program advisory and family engagement team. They are always looking for ways to innovate/improve programs and systems, identify steps needed to achieve long- and short-term goals, and can work independently and within groups.

The Site manager oversees program quality, maintains and tracks grant compliance, and is responsible for the data entry of both SUN and 21st CCLC offerings at Centennial High School. The position requires a high level of understanding and ability to operate Google Workspace, Excel, MFS Database systems, and school district database systems. The Centennial High School SUN Program currently operates Monday through Friday with over 500 Students per year, 60 partnerships, and approximately 30 offerings per session. The position requires the Site Manager to be on site or in the office for 90% of the week (10% hybrid option if approved by the Program Manager), and the ability to flex hours within the work week as there will be late nights with community events and/or field trips.

Program Administration

  • Minimum of two years of experience in program development and administration
  • Experience in developing and managing budgets

Supervision

Essential Duties and Responsibilities:

  • In collaboration with school administration, staff, advisory committees, families, and grant partners, the SUN Site Manager will develop core services to address the academic, enrichment, recreation, leadership, college, and workforce readiness and social service needs at Centennial High School. The services must be developed to meet the needs of a large and culturally diverse school with a focus on target groups listed in 21CCLC grant and School Improvement Plan
  • Recruit, hire, train, and supervise a diverse group of staff, student tutors, ASB Advisors, and volunteers
  • Provide leadership and create a successful team environment in the program and partner space, including facilitating a monthly partner meeting
  • Work directly with MFS Human Resources Department regarding hiring, employee performance, and employee relations issues
  • Oversee all aspects of extended day activities – aligning services of community partners, school-led activities, and MFS activities into one comprehensive model
  • Survey and assess community needs and strengths by distributing, collecting, and tracking County and 21CCLC surveys
  • Develop and maintain strong and positive relationships with school administration, staff, students, families, and community partners
  • Recruit, coordinate, and implement orientations each session for local community providers and ASB Advisors to offer their services on site and maintain those relationships with strong communication and follow-through
  • Draft partner agreements and memorandums of understanding with community organizations
  • Coordinate the implementation of family involvement and adult education opportunities that engage a diverse group of parents, guardians, and community members in the school
  • Conduct outreach and market the program to students and families, informing them of available resources and events
  • Effectively and consistently session updates and keep regular contact with families
  • Provide information and assist with connections to broader community and social service resources
  • Create strong connections with students while maintaining professional boundaries
  • Support healthy student transitions into and out of the school, including summer programs
  • Meet regularly with advisory council, family engagement team, school staff, and community providers
  • Perform administrative tasks, including organizing and facilitating meetings, developing and coordinating the advisory council and family engagement team, drafting an annual work plan and budget, compiling and disseminating program and MFS information, data collection and collecting, writing and submitting required progress reports for both SUN and 21stCCLC required reporting
  • Attend regular supervision meetings with the MFS Program Manager, monthly MFS department meetings, and weekly Principal Meetings
  • Actively participate in all agency and program meetings, trainings, and retreats
  • Organize, submit, and maintain personnel records and documentation as required
  • Provide data and written reports as required
  • Effectively and consistently market the organization, communicating about MFS and its programs in a way that is both compelling and on message. Follow marketing guidelines in place when communicating with staff, volunteers, clients, partners, and potential supporters
  • Comply with Metropolitan Family Service policies and procedures as outlined in the Employee and Supervisory Handbooks

Qualifications

Knowledge, Skills, and Abilities Required:

  • Minimum of two years of experience in program development
  • Experience in managing program budgets
  • Minimum of two years of experience in effective supervision of staff and volunteers
  • Experience in developing and supervising of academic enrichment and/or recreational programs
  • Experience working with high school students and their families
  • Experience working in a public school setting
  • Experience working in collaboration with a variety of agencies and programs
  • Ability to work independently and to collaborate with other MFS Site Managers
  • Ability to communicate effectively with a broad range of individuals and groups

Education and Experience Requirements:

  • Minimum of a BA or BS in public service, recreation, or human services related field; or equivalent related experience preferred
  • Minimum of two years of experience leading school-based academic enrichment, recreation or social services programming
  • Fluency and ability to communicate effectively in languages in addition to English is strongly preferred

Other Requirements:

Personal transportation allows for travel within the Portland Metropolitan area in a timely manner. If driving a personal vehicle must maintain a valid driver license for the state of residency, personal auto liability insurance coverage and a driving record permitting coverage under the agency auto liability policy.

Work Environment:

Work is performed primarily on school premises and an office environment and/or at other locations as deemed necessary. May require occasional early morning, weekend or evening work. Position requires ability to sit for extended periods as well as stand. Position requires use of computer, telephone, fax machine, copier and may require accessing locations by use of stairs. Position may require lifting and/or carrying of items of up to 15 pounds regularly, bending, stretching, and other tasks will occur on occasion.
