Job Overview

The Intake Team Lead has primary responsibility and accountability for managing the daily Intake workflow for their regional team ensuring the accurate and timely entry of referrals; obtaining medical records, insurance verification, ordering DME, sending electronic consent forms, reviewing consents with POA are completed in an efficient and accurate manner, facilitating conversion of referrals to evaluations.

Essential Functions

  • Oversees team staff to ensure that all Intake tasks are completed in an accurate and timely manner.
  • Monitors Team Intake Email box and electronic faxes; prioritizes tasks and assigns to Intake coordinators.
  • Audits their team referrals and workflow entries on a daily basis.
  • Resolves technical and process issues that could negatively impact the referral process.
  • Schedules and facilitates stand up/down calls with branches to ensure status of pending referrals is accurately recorded.
  • Tracks pending referral statuses to ensure patients are evaluated in a timely manner.
  • Designates phone call coverage for Intake and overflow calls.
  • Escalate concerns and trends that are delaying the referral to admission process. 
  • Responsible for branch calendars and monitoring of the results of a scheduled evaluation to ensure proper follow-up

Qualifications

Education/Licensure/Certification Requirements and Qualifications:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Excellent written, verbal and interpersonal skills, including ability to work with people at all levels across the organization with a team mentality.
  • Demonstrated ability to direct Intake staff in a “triage-like” environment.
  • Ability to meet deadlines and work well under pressure.
  • Ability to deal tactfully with customers and the community.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects with minimal supervision.
  • Demonstrate autonomy, organization, assertiveness, flexibility, and cooperation in performing job responsibilities.
