POSITION OVERVIEW
The position of Assistant to the Vice President for Finance & Operations is integral to the success of Westminster Schools’ Business Office. Reporting to the Vice President for Finance & Operations, the incumbent is responsible for ensuring that the business office runs efficiently and effectively.

Position Status: Salaried, non-exempt, full-time, 12-month
Hours of Work: Generally, a standard work week. Evening and weekend overtime work will be required.
REQUIREMENTS AND QUALIFICATIONS

- Excellent public relations skills, including courteousness, tact, and good verbal communication
- Must be team-oriented with excellent interpersonal and communication skills
- Proven ability to work independently; self-motivated; also works cooperatively with other office personnel
- Ability to maintain self-control and complete tasks with frequent interruptions
- Knowledge and practical experience in Google Workplace and Adobe Acrobat
- Proficiency in Microsoft Office Suite, including Excel
- Ability to design visually appealing and professional presentation slides
- Strong attention to detail and accuracy in organizing data and information
- Demonstrated ability to exercise independent judgment, prioritize tasks, anticipate needs, and work independently with a high degree of accuracy
- Must be a willing learner of new skills for tasks and responsibilities that become necessary in this role
- Ability to multi-task and change priorities when necessary
ESSENTIAL RESPONSIBILITY:
- Manages calendar and appointments for the Vice President of Finance & Operations
- Coordinates for the Audit Committee, Campus Development Steering Committee, and the Finance Committee: schedules resources for meetings and posts meeting materials in Board of Trustees communication software
- Assists Board of Trustees members
- Supports the Finance & Operations team with scheduling event resources
- General office duties include greeting visitors, answering phones, entering invoices and reimbursements, distributing mail for the department, and ordering office supplies
- Manages petty cash disbursements and reimbursements for the Business Office
- Enters work orders for building and equipment maintenance
- Serves as a backup for the main receptionist phone and access to Pressly Hall and Campbell/Hawkins Hall
- Provides notary services for the school as well as faculty and staff
- Other duties as assigned
PHYSICAL DEMANDS AND WORK ENVIRONMENT
While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle, and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out. The employee may occasionally lift or move up to 20 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to become CPR, AED, and First Aid Certified. Ability to maintain focus in a dynamic work environment
While performing the duties of this position, the employee is occasionally exposed to outside weather conditions and may frequently walk on slippery or uneven surfaces. The noise level in the work environment can be loud.
Westminster is a drug-free, smoke/vape-free campus.
TRAVEL
Travel is primarily local during the regular business day. Overnight and out-of-area travel may also be required and is associated mainly with planned events, conferences, and professional development opportunities.
Driving a Westminster vehicle may be required for this position.
