POSITION OVERVIEW


The Human Resources Associate position is an integral member of the Human Resources Department. The Associate works closely with many school constituencies to coordinate, communicate, and implement HR policies, procedures, and best practices that support and enhance The Westminster Schools experience.  The Human Resource Associate must thrive in a results-driven, relationship-focused, and community-oriented workplace.  The Associate must be able to work independently and collaboratively on diverse HR projects and initiatives in a fast-paced academic environment, often with competing deadlines. This position is responsible for executing HR programs and initiatives requiring a highly organized and detail-oriented person with excellent interpersonal skills and a high degree of confidentiality and discretion.

Position Status:  Salaried, exempt, full-time, 12-month

Hours of Work: This is a full-time, year-round position. Typical hours are 8:00 a.m. to 4:30 p.m., Monday - Friday. Some weekend and evening work will be required.
 

 

REQUIREMENTS AND QUALIFICATIONS

  • A bachelor’s degree in Human Resources Management, Business Administration, Management, Organizational Psychology, or another related field
  • Three to five years of human resources experience in Assistant, Administrator, Specialist, or Associate-level roles with increasing responsibility and accountability for workplace human resources operations.
  • Willingness and ability to research US employment law and HR best practices and deliver any updates or changes to the team
  • Excellent knowledge of Microsoft Office products; Google Suite, including Docs, Sheets, and Slides
  • Working knowledge of Human Resources Information systems is required; Paycom experience is preferred but not required.
  • Outstanding organizational skills, with strong attention to detail and follow-through
  • Excellent communication skills and the ability to speak to audiences and facilitate group meetings of any size
  • Aptitude for listening and ability to think and plan while maintaining strict confidentiality at all times
  • Experience with standard accounting functions, including payroll entry, data processing, and routine business transactions 
  • Superior employee (customer) service skills, including the ability to be sympathetic, caring, and understanding with regard to employee concerns and workplace issues
  • Ability to multi-task and handle multiple projects, work quickly, and with accuracy 
  • Human Resource Certification preferred


 

ESSENTIAL RESPONSIBILITIES


  • Benefits Administration: Assists with benefit renewal, initial and open enrollment, claims resolution, and employee communication 
  • Employee Relations: Exercises discretion and handles sensitive matters with urgency fairly and consistently; managing separation events inclusive of exit interviews
  • Training: Plans and executes faculty, staff, and management-level training, including but not limited to FLSA, Workplace Harassment, and other HR Policies, Processes & Procedures
  • Onboarding/Orientation: Manages the distribution of information and access points for incoming faculty and staff; assists in executing Wildcat Forum
  • Job Descriptions: Maintains and updates the School’s job description library; ensures proper classification of employees for FLSA compliance
  • Recruitment/Retention: Actively participates in the recruitment of new faculty and staff; assists with job postings; participates in the interviewing process and provides timely feedback to the hiring manager; assists in the execution of offer letters and management of the new hire process (screening services, access points, technology, etc.)
  • Compliance: Ensures that the School consistently complies with all applicable federal, state, local, and industry-specific laws, rules, and regulations, such as EEO-1, OSHA, FLSA, ADA, and ADEA.
  • HRIS: maintains the integrity of the data in Paycom – the Human Resources Information System; uses the information to evaluate and guide decisions, departmental results, and goals; processes payroll as needed
  • Data: Collects and analyzes human resource data for internal and external reporting; communicates findings and evaluates trends; recommends a course of action if applicable 
  • Employee Engagement: Works in collaboration with the HR team to promote a positive organizational culture through the successful delivery of employee engagement activities
  • Special Projects: Provides solutions to HR issues by clarifying project objectives, setting applicable timetables and schedules, conducting research, developing and organizing information, fulfilling goals, and delivering solutions
  • Performs other related duties as required and assigned

 

 

PHYSICAL DEMANDS AND WORK ENVIRONMENT


While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; and talk or hear. The employee must occasionally lift or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Ability to walk over rough, uneven, or rocky surfaces; engage in moderately strenuous physical activity both indoors and out; sit and stand for long periods; ability to become CPR, AED, and First Aid Certified.

Westminster is a drug-free, smoke/vape-free campus.
 

 

TRAVEL


Travel is primarily local during the regular business day.  Overnight and out-of-area travel may also be required and is associated mainly with planned events, conferences, and professional development opportunities.

Driving a Westminster vehicle may be required for this position.
