We are looking for someone who is passionate about our event operations and guest experiences, always ensuring our venue is equipped and ready for our internal and external clients. A collaborative attitude is crucial, as you will interact with various teams, from Operations to Sales and Events, ensuring everyone is aligned with the venue's standards and the facility is highly functional for all teams. Time management and the ability to prioritize tasks effectively is vital, especially during high-demand periods or preparing for large-scale events. Ultimately, our Venue Operations Coordinator must be reliable, approachable, and able to maintain a balance between achieving operational excellence and fostering a positive, welcoming environment.

This is a fulltime position 

The Primary job of the Venue Operations Coordinator includes but is not limited to:

  • Ensure The Fives is always guest ready by completing venue checklists
  • Complete daily venue walkthroughs to address additional cleaning needs, special projects, or maintenance requests
  • Report and communicate maintenance request details to Operations Manager
  • Assist Operations Manager in coordination of maintenance vendor appointments
  • Check in vendor delivery orders and event rental orders to ensure accuracy
  • Stock and FIFO incoming vendor deliveries
  • Maintain organization and functionality of venues BOH/Kitchen areas and equipment and beverage storage areas
  • Manage inventory of event equipment smallwares and report needs to Operations Manager
  • Completion of quarterly smallware equipment inventory
  • Complete event beverage pulls and ensure beverage needs are stocked prior to events
  • Ensure Events Team has all necessary, functioning, and clean equipment for events
  • Collaborate with Assistant Operations Manager to complete and return all transfers between venues
  • Use of Brivo system to program door lock schedule for events
  • Collaborate with Facility Attendant in completing venue cleaning checklist and special projects
  • Communicate out of stock needs to Inventory Clerk or Purchasing Manager

 

Measurables

The Fives venue is prepared visually, esthetically, and operationally for guests, meetings, tours, and events.

Required

  • Minimum of 2 years' experience in venue operations
  • Ability to lift 50 pounds, kneel, stoop, or reach items on high and low shelves, and stand for 8 hours at a time
  • Valid driver’s license and insurable driving record
  • Flexible/weekend availability
  • Strong written, verbal, and tech communication skills

Preferred

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
  • Previous experience in catering or hospitality
