Description

The Grants Coordinator performs various tasks to support the Health Services Department for grants and contract management. The Special Projects & Grants Coordinator performs various functions to support the Health Services Department for management, grants, programs, and special assignments.  Responsibilities include managing the daily workflow and operations related to the grant life cycle and assisting with various strategic priorities to advance the Department’s mission. The position regularly interacts with potential and current grantees about the status of their application, award, and progress reports, reviews documents to ensure compliance with guidelines, criteria, and grant agreements, and manages the distribution of grant-related activities to Health Services staff.

 

Duties Include:

Grants Management:

  • Assists with grant orientation for new staff on policies, forms, and procedures required for sponsored projects.
  • Coordinates grants related to Health Services and with various programs, including pre/post-award tasks.
  • Lead regular grant management meetings with all applicable HS staff and ensure tasks are completed and accounted for properly.
  • Develop and maintain a tracking system of allowable expenses for the HS Leadership team.
  • Addresses non-compliance issues with staff to ensure corrective action. 
  • Maintains reporting calendar and ensures grant reports are submitted timely.
  • Research and pursue funding opportunities in coordination with grants.
  • Creates and maintains a master process and procedure guide in coordination with the Tribal Grants Department for the grant lifecycle, workflow, and document and record retention.
  • Ensures all grant reports are reviewed by the Director and submitted before the due date.
  • Proactively anticipates project needs and develops and manages timelines to ensure successful outcomes and deadlines
  • Assists with non-competing continuation applications
  • Collaborate with HS Leadership team to ensure proper access to all grant systems.

Strategic Planning:

  • Coordinates strategic planning efforts with the Health Leadership Team
  • Identify areas of need and work with staff to develop plans.

Remote Work:

  • This position is eligible for situational remote work as needed. The schedule must be discussed with and approved by the supervisor and director and may be subject to change depending on the role and department's needs.

Other duties as assigned

 

Education and Certifications:

  • AA degree is required.
  • Bachelor’s degree preferred.
  • WA State Driver’s License required.

Experience:

  • A minimum of 3 years of experience working with grants is required.
  • A minimum of 1 year of experience in the healthcare field is preferred.

 

Physical Requirements:

  • Regularly required to finger, handle, reach with hands and arms
  • Frequently required to walk, sit, stand.
  • Occasionally required to lift and move up to 25 pounds.
  • Normal audio and visual acuity

 

Travel Requirements:

Local, Statewide, and out-of-state travel may be required.
