Position Title: Manager of Health Center Operations
Supervisor: Managing Director of Health Services
Overview:
Founded in 1972, The Door empowers educationally and economically disadvantaged youth to reach their potential by providing a complete range of services all under one roof. Each year young people from all five New York City boroughs come to The Door for primary health care, reproductive care and health education, dental services, eye care services, mental health counseling, legal services, supportive housing, career & education services, daily meals, cultural arts and services.
The Manager of Health Center Operations assumes responsibility for the day-to-day front office operations and back office clinical support of the health center. This includes excellent customer service, appointment scheduling, medical records maintenance, management of patient flow, and procurement of supplies and equipment for the health center.
Responsibilities:
- Directly supervises operations and clinical support staff, including Patient Service Associates, and Medical Assistants. Ensure adequate staff coverage. Provides training, coaching, and performance evaluation.
- Oversee patient flow throughout the health center and ensure a patient focused environment dedicated to providing an excellent patient experience, a smooth flow of communication between team members and patients, and a welcoming environment for patients and guests.
- Manage the response to incoming communication including phone calls, emails, eFax, and portal messages, and general inquiries about services in a timely and effective manner.
- Create, monitor and oversee central scheduling and patient flow for multiple providers. Check schedules routinely to ensure patient access.
- Implement strategies to achieve patient visit goals and benchmarks for health center productivity, efficiency, and effectiveness. Ensure provider schedules are at a level to achieve identified benchmarks.
- Serves as an administrator for eClinicalWorks (EHR) in partnership with the Data Manager and the eClinicalWorks (eCW) vendor, to determine security profiles, system configuration, accessibility, order-set, template creation, and submit tickets.
- Ensure patient and staff safety by ensuring proper maintenance of the health center facility, medical equipment, and office equipment (in coordination with Facilities, IT, Finance, and vendors).
- Manage the acquisition of supplies and equipment for the health center, in accordance with company purchasing policies and budgetary restrictions
- Complete finance forms accurately and in a timely manner, including but not limited to processing invoices, bids, , petty cash, metro cards, and travel expense forms.
- In collaboration with an interdisciplinary team, participate, and lead team meetings, huddles, and training. Work on various projects including program evaluation, compliance, quality improvement and expansion initiatives. Prepare and review management and data reports. Develop and update workflows, policies, and procedures.
- Serves as the HIPAA compliance lead for the health center.
- Manage special projects related to operations and administration for the health center.
- Performs other related tasks, as assigned by the supervisor.
Qualifications:
- Bachelor’s Degree preferred in Healthcare Administration, or the equivalent in education and closely related work experience preferred.
- Minimum of two years of supervisory/management experience in a community health center, and/or ambulatory healthcare setting.
- Exceptional and enthusiastic interpersonal skills and communication skills a must.
- Back office clinical support experience required including but not limited to phlebotomy, basic laboratory skills, vitals, EKG, infection control, and medical terminology.
- Experience Medicaid and insurance eligibility and enrollment.
- Knowledge of eClinicalWorks or another electronic health record a must.
- Experience with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams).
- Demonstrated leadership, including effective decision-making and problem-solving experience.
- Strong operations experience including the ability to manage time efficiently, take initiative, and manage multiple tasks/projects, in a busy health center environment.
- Bilingual English/Spanish or English/French strongly recommended.
