What You Will Do

As an Office Administrator, you will play a key role in maintaining the smooth operation of our clinic. Your responsibilities would include, but are not limited to, the following:

  • Overseeing daily office operations, including scheduling, managing supplies, and ensuring a well-organized workspace.
  • Assisting in HR and onboarding processes by managing employee records, coordinating new hire orientation, and supporting employee engagement initiatives.
  • Acting as the primary point of contact for office-related inquiries for families, coordinating with internal departments, vendors, and clients.
  • Maintaining records and preparing reports for management to support data-driven decision-making.
  • Supporting financial processes, including invoicing, budget tracking, and expense management.
  • Using productivity tools to streamline processes, enhance office efficiency, and support a positive office environment.

ESSENTIAL FUNCTIONS

  • Review, screen, prioritize, and expedite as appropriate all pediatric referrals and intake inquiries received
  • Participate in the creation and maintenance of consent forms, clinic agreement forms, information packages, and other documents used in the clinic.
  • Be the first line of contact for new client families and determine how to support new families from a coordinated, multidisciplinary approach.
  • Schedules and organizes meetings as requested.
  • Manages and coordinates office workflow, scheduling, client files, and additional documentation.
  • Provide efficient responses to clients, doctors, and staff needs/inquiries.
  • Develop positive relationships with staff and clients.
  • Analyze and organize clinical office operations and procedures.
  • Ensure that patient and clinical employee records are current and accurate
  • Monitor and maintain inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked, and to fulfill special requests from staff.
  • Maintain and update office phone list, email distribution lists, and resource information.
  • Attend all scheduled workdays; arrive at all scheduled workdays in a timely manner; maintain a professional appearance regarding clothing, personal grooming, hair, and makeup per company policy.
  • Perform all other duties as assigned by supervisors.

Qualifications

What We Require

  • 18 years or older
  • High School Diploma
  • Proof of employment eligibility
  • Valid driver’s license, proof of valid car insurance, and reliable transportation
  • 2+ years of experience of client-facing administrative work (preferred, not required).
