Position Description

This position is responsible for performing legal, administrative and contract support assignments in an in-house legal department. This position is responsible for managing the administrative and support needs of the General Counsel Department by coordinating, planning, and producing special projects, mailings, exhibits, policy and record maintenance, corporate filings, managing calendars, communicating with internal and external customers, assisting with attorneys’ needs and administrative tasks. Additionally, the position is expected to support quality improvement efforts of the Department, including identifying opportunities for improvement and leading the implementation of solutions. 

Key Responsibilities

  • Responsible for tracking, documentation, and management of contract documentation.
  • Assist with the editing and compilation of contracts including maintenance of tickler system to keep all contracts current.
  • Participates as a team member on an acquisition management review team or on an equivalent assignment
  • Presents factual information; composes memoranda, minutes and reports; and drafts contract provisions and supporting documents
  • Assigned work in terms of objectives, priorities and deadlines and provides additional assistance with new or unusual assignments
  • Prepare preliminary drafts of standard agreements, employment-related agreements, and commercial agreements
  • Manage, organize, and maintain documents in electronic filing systems.
  • May be asked to assist in data privacy incident investigation and mitigation.
  • Support document production in response to litigation requests or subpoenas.
  • Provide administrative support to General Counsel Department. Duties may include by way of example and not limitation the following:
    • Support department in preparation for meetings, cases, investigations, etc.
    • Provide clerical support by handling incoming and outgoing mail, ordering and maintaining office supplies and informational resources; assist members of the department with tasks such as photocopying, document formatting and editing, research, file organization and maintenance, and appointment scheduling.
    • Produce preliminary drafts of legal and business communications.
  • Support quality improvement efforts of the Department, including identifying opportunities for improvement and leading the implementation of solutions. Challenge present processes and methodologies with a focus on continual improvement.
  • Expand job knowledge by participating in educational opportunities; reading professional publications, while achieving organization goals by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Perform any other ancillary and associated tasks, including administrative tasks, as may be required.

Minimum Requirements

  • 5 years of experience in professional procurement and contracting, or as an executive level legal assistant or paralegal.

Critical Skills

  • Excellent oral, written communication skills.
  • Knowledge of business writing, spelling, punctuation, and grammar.
  • Superior organization and planning skills.
  • Ability to evaluate and to grasp complex information and communicate effectively with various audiences.
  • Ability to work collaboratively in a fast-paced, deadline-oriented environment.
  • Knowledge and proficiency with Microsoft Word, Excel, Outlook and PowerPoint required.
  • Knowledge of SharePoint and virtual meeting platforms preferred.
  • The strongest candidates will have knowledge and meaningful experience with any of the following: federal government contracting, HIPAA, GDPR and FedRAMP.

Additional Skills & Qualifications

  • Knowledge of document formats such as contracts, briefs, complaints, and commercial paper preferred.
  • Understanding of legal, medical, and information technology terminology helpful.
  • Subject matter requires the highest discretion, integrity and judgment.

Education

  • 2-year degree in legal studies, paralegal studies or other related field of study, or equivalent work experience.  Paralegal certificate preferred. Notary Public preferred.
