Description

We are seeking an Office Clerk to support our Orange County office.

Responsibilities:

  • Scan and process legal mail for multiple attorneys
  • Sort and distribute incoming mail and packages
  • Prepare outgoing mail and packages for shipment
  • Maintain accurate records of all incoming and outgoing mail
  • Answer phones, greet and direct clients and guests, adhering to security protocol
  • Conference room management, including scheduling conference rooms and maintaining appearance and supply levels
  • Coordinate catering
  • Maintain the overall cleanliness of kitchens, supply rooms and conference rooms
  • Keep files up to date, following a filing system, and organizing records, such as letters, legal documents, case files and correspondence
  • Operate digital image scanning equipment to capture images and generate associated text and follow established scanning and quality control procedures in producing digital files in specified format for further processing
  • Conduct quality checks and audits by verifying electronic images on the screen and correcting any scanning malfunctions
  • Assist with all Firm related clerical tasks including, but not limited to filing, faxing, scanning, sorting, typing and copying
  • Ensure the integrity and confidentiality of all records
  • Maintain inventory of office supplies and materials, including those specific to the mailroom supplies
  • Perform other duties as assigned by Management and/or Team Leaders

Qualifications:

  • Previous experience in an administrative or mailroom role preferred
  • Familiarity with office management procedures and equipment
  • Proficiency in MS Outlook or similar software for email, calendar, and document management
  • Proficiency in MS Word
  • Strong organizational skills
  • Ability to work under pressure and manage multiple tasks
  • Customer service experience
  • Dependable and reliable
  • People-oriented and enjoys group work
  • Adaptable and flexible with a capacity to shift directions frequently
  • Detail-oriented with a focus on precision
  • High tolerance for stress, thriving in high-pressure environments

Pay Scale: The reasonably expected pay scale for this position is $48-52k.  This is an employer estimate and the salary offered within that range, and the potential for bonus and bonus amount, will depend on candidate’s years of practice and experience and performance.
