Description

Administrative Specialist Job Responsibilities:

Provides various office and cross-functional services by implementing systems, procedures, and policies, and monitoring administrative projects driven by the Department of Operations and the Executive Director.
 

Administrative Specialist Job Duties:

  • Maintains administrative workflow by evaluating methods, exploring cost saving measures and developing reporting procedures.
  • Works with Director of Operations in creating and revising systems and procedures by analyzing operating practices and identifying and implementing new solutions for the office and other areas under Department of Operations management.
  • Supports Director of Operations in drafting internal policies, contracts, standard operating procedures, memos, etc.
  • Coordinates procurement process for office supply inventory and other needs as assigned.
  • Takes initiative in resolving administrative problems by proactively analyzing information, identifying issues, and communicating solutions.
  • Coordinates communication with external vendors in aspects related to office operations.
  • Serves as the Board of Directors administrative liaison and assists the Executive Director with administrative needs. This includes being responsible for scheduling Board and/or Committee meetings (before and after regular office hours, if needed), coordinating communications with Board Members, transcribing confidential minutes, etc

Qualifications

  • Two or more years of related experience and/or training. Bachelor’s degree can substitute for work experience.
  • Highly developed critical thinking and analytical skills.
  • Excellent communication skills (oral and writing) and the ability to effectively present information in one-on-one and small group situations.
  • Comfortable in identifying and incorporating new technology solutions.
  • Ability to take initiative and make independent decisions within assigned areas of responsibility.
  • Competent in managing ambiguity and uncertainty while solving problems.
  • Capable of working five days per week in-person at The Arc’s headquarters.
  • Calm under pressure, positive, team-oriented attitude.
