Description

A Northwest leader in protecting animals since 1967, the Progressive Animal Welfare Society (PAWS) shelters homeless animals, rehabilitates injured and orphaned wildlife, and empowers people to demonstrate compassion and respect for animals in their daily lives.

 

 

Position Title:               Events & Sponsorship Coordinator

Starting Wage:              $23.00 – $26.00

 

Purpose Summary:

The Events & Sponsorship Coordinator will provide comprehensive events program and administrative support to the Development team. Their role is to assist in the advancement of PAWSwalk, PAWS Wild Night and community fundraising activities including peer-to-peer fundraising to maximize and retain annual giving.  

 

The Events & Sponsorship Coordinator’s primary duties will be to cultivate and manage positive relationships with event attendees, sponsors, and prospective donors by elevating the donor’s event experience. Their scope of work will include ongoing event registration management, fulfilling sponsorship agreements, supporting procurement/event committees, coordination of volunteer engagement, responding to event inquiries and leads, donor database management and ensuring all gift processing SOPS and needs are being fulfilled.

 

This is a full-time hybrid position. Weekly on-site hours will be required, and on-site time requirements will increase during major event times. Involves periodic evening and weekend work. Overtime may be required during peak event weeks.

Essential Responsibilities:

In accordance with organizational policies, duties include but are not limited to:

  • Serve as a main point of contact for sponsors, vendors, and event participants, providing technical support and answering questions to ensure a seamless and positive experience.
  • Keep current knowledge of all logistics planned for events to further educate and engage sponsors, donors, and attendees.  
  • Schedule and communicate with event volunteers, ensuring clear expectations and well-defined roles.
  • Oversee ongoing event registration, ticket allocations, and catering preferences (when applicable) for PAWS Wild Night (400+ participants), PAWSwalk (700+ participants), and Peer-to-Peer fundraisers.  
  • Coordinate donors, sponsor, and volunteer engagement via project trackers and communications using virtual software platforms to maintain visibility, consistency, and connectivity in all work.  
  • Coordinate fulfillment and delivery of auction items, swag and prizes pre-event and post-event. 
  • Manage third-party and outreach tabling inventory and supplies, ensuring that staff and volunteers have access to the correct materials for scheduled tabling and outreach activities.
  • Represent PAWS at community events such as festivals, markets, and corporate gatherings when assigned.
  • Steward peer-to-peer fundraisers via Classy and supports community fundraising events as assigned.  
  • Cultivate and manage positive relationships with gift-in-kind donors that result in sponsorships and other annual gifts (e.g., converting auction item donors into annual event sponsors). 
  • Following interactions with donors and sponsors promptly and accurately records actions and relevant information into Raiser’s Edge. 
  • Provide event set-up support and guest services during and after signature events to ensure a memorable experience, as well as support event teardown, and provides donor support where needed after event. 
  • Support events day of with set-up, run of show, and load out.

 

Other responsibilities Include:  

  • n coordination with the Events Manager and the Director of Philanthropy & Events, identifies tabling, outreach, and fundraising opportunities that advance organizational goals.
  • As directed by the Events Manager, coordinates PAWS’ involvement in tabling, outreach, and fundraising opportunities.
  • Supports and works with volunteer and event committees to procure auction items, invite guests, and attract sponsors.  
  • Assists with vendor coordination, including day-of event execution and post-event invoicing.
  • Supports with receipts for all event-related pledges and gifts, provides proper donor data and acknowledgement details to the Donor Relations team and PAWS leadership. 
  • Run errands as needed for events
  • May perform other related duties as required.

 

Controls over Work

The Events & Sponsorship Coordinator works under the direction of the Events Manager and is expected to undertake the established duties with minimal supervision.

 

Physical Requirements:

Work may require long periods of sitting at a desk using a computer, calculator, or other office equipment. Work is performed both in and out of the PAWS facility, which may require lifting and carrying equipment and display materials. Ability to lift 30 pounds and stand on feet for long hours during events.

 

 

 

Qualifications

Requirements

  • High School Diploma or equivalent preferred.
  • Must be available for occasional evening and weekend work.
  • Comfortable emailing, calling, and talking to a variety of people.  
  • 1 year supporting events and volunteer activities preferred.  
  • 1 year supporting donor relations and gift-in-kind procurement preferred.  
  • Must have or be able to obtain a valid Washington driver’s license with no major or repeated minor traffic offenses and auto-insurance with required coverage limits. 
  • Experience working or volunteering for a nonprofit preferred. 
  • Interest in animal welfare preferred. 

 

Knowledge, Skills, and Abilities:

  • Strong organizational and administrative skills. Highly collaborative, proactive, and flexible.
  • Proficient computer skills including Microsoft Office Suite.
  • Ability to quickly learn fundamentals of new software like Greater Giving, Classy and Raiser’s Edge.  
  • Extremely organized, exhibit grace under pressure, and help run events that leave guests with a good impression of PAWS and our work. 
  • Detail orientated and able to juggle multiple tasks, activities, and duties; Good natured with “can-do” attitude. 
  • Ability to work under time constraints and be resourceful with shifting priorities. 
  • Possess excellent interpersonal, written, and verbal communication skills and works effectively and respectfully with diverse groups of people.
  • Ability to work with clearly defined goals, and plan and organize efforts to achieve objectives.
