Job Title: Head of School Executive Assistant

Location: Denver Christian School – Lakewood, CO

Position Type: Full- Time, Salary Non-Exempt

Reports to: Head of School

Salary: $60,000 - $75,000

 

Job Summary:

             Head of School Executive Assistant must be a positive, welcoming, competent, and computer savvy person with a “how can I help” mentality. This position is the “face of the school” and must set a welcoming and positive tone for every student, staff, parent entering the office. This position must be organized and productive to juggle a variety of daily/weekly tasks (outlined below) and be able to handle confidential information such as school information.

 

Key Responsibilites:

  • Manage the Head of School's daily schedule and yearly calendar advising on priorities, resolving conflicts, and ensuring optimal use of time. Remind the Head of School of upcoming commitments and help maintain punctuality.
  • Provide strategic and logistical support and management of special projects, events, and institutional priorities identified by the Head of School.
  • Support the Head of School with various administrative tasks including management of receipts, organizing school events, reserving school facilities, conducting research, and preparing presentations.
  • Manage day-to-day business correspondence and provide input on important communications from the Head of School.
  • Provide coordination and support for the Leadership team – scheduling and planning meetings, facilitating projects, and coordinating workflows as needed. 
  • Support the leadership team in the creation and publication of the annual School Calendar.
  • Prepare meeting agendas, compile relevant documents, and record minutes. 
  • Prepare and distribute memos, letters, reports, and other documents as required.
  • Act as a liaison between the Head of School and staff, students, parents, and external stakeholders. 
  • Facilitate communication and coordination for the Board of Trustees, as needed, including drafting and distributing communications and agendas and ensuring that all relevant stakeholders are informed and involved.  
  • Maintain board member contact information, board records, board policies, and assist with the preparation and distribution of board meeting materials, as requested.
  • Support the administrative organization of Board of Trustee events, as requested.
  • Maintain accurate and organized records, files, and databases. 
  • Upload school data into requested internal / external databases
  • Retrieve and compile data for reports and presentations as required.
  • Other duties as assigned by the Head of School

Qualifications

Qualifications:

  • A professing Christian, actively involved in a local Christian church, and aligned with the school’s statement of faith.
  • 1-3 years’ experience preferred, serving in an administrative assistant capacity or equivalent.
  • Strong technical skills including use of school database and communications systems, word processing, spreadsheets, Google Workspace, and data visualization software.  
  • Maintain strict confidentiality and handle sensitive information with discretion required.
  • Ability to organize, work independently, and prioritize tasks effectively.
  • Strong verbal and written communication.
  • Knowledge of general school office procedures.
  • Excellent time management and organization abilities.
  • Outstanding interpersonal skills, warmth and friendliness.
  • Flexible, adaptable, and innovative.
  • Able to solve problems, work independently, and collaborate.
  • Ability to build, manage and run reports. 
  • Ability to analyze, visualize, and identify trends in preferred data.

Physical Requirements:

  • Walking or Moving Around:
    • Employees may need to walk to different areas of the office, attend meetings, or retrieve documents, but walking is typically minimal compared to other roles (e.g., retail or manufacturing).
  • Sitting for Extended Periods:
    • Most office roles require employees to sit for long periods, especially when working at a desk or computer. It’s important for workers to take regular breaks to avoid strain.
  • Light Lifting:
    •  Some office roles may require light physical tasks, such as lifting boxes of supplies, office materials, or packages (usually no more than 10–15 pounds).

 

Working Conditions:

  • Indoor Environment:
    • The work is generally performed in an office setting, often with controlled temperature, lighting, and ventilation.  
  • Regular Office Hours:
    • Position is year round, School Year hours from 7:45 AM to 3:45 PM, Monday through Friday. occasional evening or weekend work required for events or time-sensitive communications.  Summer hours may vary at the discretion of the supervisor.
  • Technology Use:
    •  Work typically involves using computers, phones, and other office equipment, such as printers, scanners, or copiers.
