JOB SUMMARY:

The Media Coordinator is responsible for effectively coordinating video and photo shoots, managing project timelines, and maintaining equipment inventory.

This is a part-time, non-exempt, position reporting to the Creative Media Manager.

 

 

JOB DUTIES & RESPONSIBILITIES

  • Plan and schedule video and photo shoots, including booking locations and talent, coordinating logistics, and ensuring all necessary resources are available.
  • Manage project timelines and deadlines in line with Creative Media Manager’s direction by using project management tools such as Asana.
  • Create project tasks, assign responsibilities to team members, and monitor progress to ensure projects are completed on time and within budget.
  • Proactively identify potential issues and obstacles to project success and take appropriate action to address them.
  • Interface with talent and ensure their comfort and needs are met during shoots.
  • Maintain an inventory of all equipment, including cameras, lighting, and audio gear, and coordinate repairs or replacements as needed.
  • Collaborate with creative teams to understand project requirements and contribute ideas and insights to the creative process.
  • Stay updated on industry trends and best practices to continuously improve project workflows and deliver high-quality results.
  • Process invoices and budget worksheets for the Creative Media department.
  • Organize and maintain hard copies of photo/likeness release forms and keep records digitally as well.
  • Ensure the storage and archive system on EVO is running up to standard within the Creative Media department

Qualifications

JOB SKILLS & REQUIREMENTS

  • Proven experience in video production, including scheduling shoots, coordinating logistics, and working with talent.
  • Strong project management skills, with the ability to prioritize tasks, manage deadlines, and adapt to changing priorities.
  • Proficiency with project management tools such as Asana or similar software.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members and external partners.
  • Knowledge of creative processes and best practices in media production.
  • Highly organized with great attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Flexibility to adapt to evolving project requirements and timelines.
