JOB SUMMARY: This position is responsible for assisting in the administrative and daily work flow of the Trust Department.
ESSENTIAL JOB FUNCTIONS:
- Assist customers with requests, questions, and or research.
- Prepare historical data monthly for review.
- Responsible for answering and managing phone calls as needed including walk in clients and customers.
- Responsible for maintenance of Trust accounts, and files.
- Assist with department correspondence, mailings and other marketing as needed.
- Maintain department intranet webpage.
- Provide backup to other department team members.
- Prepare customer correspondence and mailings.
- Maintain and prepare committee meeting minutes monthly.
- Prepare report packets for account reviews monthly.
- Learn and understand retirement plans – including IRAs and 401(k)s.
- Assist plan participants with questions concerning their retirement plans.
- Must effectively interact with a wide range of clients and customers.
- Must be able to meet attendance and punctuality standards.
- Effectively work and cooperate with supervisors, co-workers and customers.
- Follow the direction of supervisor.
- Other duties as assigned.
ADDITIONAL RESPONSIBILITIES:
- Perform other duties and projects as required by management.
MINIMUM QUALIFICATIONS FOR CONSIDERATION:
- 1-2 years in an office environment providing clerical/administrative skills preferred.
- Strong proficiency in pc applications; Windows, MS Word, MS Excel MS PowerPoint and also the ability to learn job related software required.
- 1-2 years in an environment with a high degree of professionalism, customer service, sales, teamwork and confidentiality required.
- Proficient computer, 10 key, and typing skills.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to perform at a high level of professionalism with a strong sense of customer service.
- Ability to maintain confidentiality is required.
- Excellent verbal and written communication skills.
- Some basic knowledge of investments is helpful.
- Strong organizational and time management skills.
- Demonstrate dependability through good attendance and adherence to timelines and schedules.
- Strong follow through on projects and deliverables.
- Strong analytical skills.
- Strong problem-solving skills.
- Demonstrate resourcefulness and ability to take initiative in development and completion of projects.
- Must have the ability to compute basic math functions as well as rates, yields and percentages.
- Strong bookkeeping/accounting skills required to balance transactions.
- Must be able to meet strict deadlines.
PHYSICAL REQUIREMENTS:
This work is sedentary and requires the following physical activities:
- Sitting for long periods of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking, hearing, and visual acuity.
- Frequent lifting (up to 25 pounds of paper supplies or minor office equipment).
- Driving to client locations and other sites as needed.
