Description

We are seeking a highly organized and detail-oriented individual to join our team as an Executive Staff Assistant for the Executive Director of Family Involvement Center. The Executive Staff Assistant will provide comprehensive administrative support to the Executive Director and will play a key role in supporting the overall success of our organization.

Role Objective:

Provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization

Key Responsibilities:

- Manage the Executive Director’s calendar, scheduling appointments and coordinating meetings

- Prepare  Word, Excel, PowerPoint presentations, agendas, reports, special projects and distribute correspondence other materials on behalf of the Executive Director in support of objectives for the organization.

- Assist with event planning and logistics for board meetings, and other special events

- Conduct research and compile information for presentations and reports

- Manage travel arrangements and expense reporting for the Executive Director

- Assist with special projects as needed and perform other duties as assigned

-Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance.

 

Qualifications

Qualifications:

- Minimum of 2 years of experience/ 3-5 years Preferred.

-Able to obtain an Arizona Fingerprint Clearance Card

-High School Diploma or Equivalent. College Degree Preferred.

- Posses Valid Drivers License & Vehicle Insurance.

-Experience in a similar role, preferably in a nonprofit setting.

-Able to obtain CPR/FA Certification.

- Strong organizational skills and attention to detail.

- Ability to communicate effectively and professionally.

- Proficiency in Microsoft Office suite and other relevant software.

- Ability to prioritize tasks and meet deadlines in a fast-paced environment.

- Experience working with senior-level executives is a plus.

- Manage the Executive Director’s calendar, scheduling appointments and coordinating meetings.

- Prepare and distribute correspondence, reports, and other materials on behalf of the Executive Director.

- Assist with event planning and logistics for board meetings, and other special events.

- Conduct research and compile information for presentations and reports.

- Able to work in office: Monday-Friday 8:30a.m.- 5:00p.m.
