POSITION SUMMARY:

Performs the imaging and processing of documents in a timely fashion so as to accurately reflect the loan file status collateral and the financial position of the customers of the bank.  Under limited supervision, but following established policies and procedures provides services for the loan and image department. Establishes and assists with the maintaining of the electronic loan files. Processes loan file documents after closing to ensure that documents are properly imaged. Responsibilities include; maintaining image department specific files, maintaining files and records, working within the Image and Loan department (when needed) to complete the scanning process, and completing special projects as assigned.

ACCOUNTABILITIES:

Service & Document Imaging:                                    

  • Prepares documents to be imaged to ensure they are placed in the proper format and category within the system.  Scans and performs quality checks of scanned items.  Configures a loan file to ensure accurate data is part of the electronic loan file as needed.  Assists as needed with questions related to the use of the system.
  • Prepare and disburse the exceptions lists for all locations.  Assists with coordination of required reviews both internal and external in the pulling of information scanned into the imaged file.  Assist with continual tracking of all critical dates for the assigned portfolio. 
  • Processes closed loans and releases collateral items on the Info Access system to ensure the status of the loan is kept current and relevant as directed by loan staff.
  • Processes insurance correspondence received by the Bank and forwards the necessary information to the correct departments and updates Info Access as required.
  • Assists with training new employees with Info Access as needed.
  • Reviews loan file documents previously scanned, insuring completeness, and proper documentation.  The incumbent may be asked to complete general office functions, such as typing correspondences/memos, answering telephones, generating reports, and provide any other necessary support necessary to obtain the objectives and goals of the unit. 
  • Backs up the Imaging Technician – Retail Support as needed.

Other Duties:                                                              

  • Works along with the other Team members in the documentation, standardization, and measurement of key business processes to promote a total quality management environment and to allow for the continual improvement and efficiency of key departmental processes. Performs certain duties related to the overall function of the Team. These duties will vary depending upon overall team needs and individual ability and experience.
  • Maintains customer confidence and protects bank operations by keeping information confidential.
  • Contributes to team effort by accomplishing related results as needed. 
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Participates in civic and community activities to generate visibility and contact for the bank.
  • Attends mandatory compliance and security sessions.  Monitors daily work for adherence to compliance and security regulations, policies/procedures, and promptly corrects any deficiencies

Qualifications

ENVIRONMENTAL CONDITIONS:

 

  • Work is performed primarily indoors in an office setting.

KNOWLEDGE, SKILLS AND ABILITIES

 

  • High school diploma or equivalent with two years related work experience preferred.
  • Skill in performing basic mathematical principles (such as addition, subtraction, multiplication, division, decimals) in account transactions.
  • Knowledge of the layout and functions of the computer keyboard and ten key adding machines; skill of using the touch system to perform data input.
  • Skill in working with the public, presenting a professional image of the bank, and servicing prospective and current customer inquiries, requests, and complaints.
  • Skill & knowledge of Bank loan documentation system preferred but not required.
  • Ability to maintain an organized filing system
