POSITION SUMMARY:

Our team includes individuals with financial planning, investment management, tax and legal expertise, dedicated to working with our clients to plan, grow and protect legacies across generations Adhering at all times to First Citizens’ Wealth Management superior client service standards, the Trust Operations I plays an integral role in the daily operations of the Trust Department, ensuring the accurate and efficient processing of Wealth Management accounts within the Trust Accounting System. This position is responsible for accurately reflecting the status of Wealth Management accounts by verifying and completing assigned daily operations functions.  

 

ACCOUNTABILITIES: 

Process Operations: 60% 

  • Monitors and post daily transactions to and from accounts in Trust Accounting System (“TAS”). 

  • Monitors and post pending ACH debits and credits. 

  • Posts daily income and dividends to TAS.  

  • Generates, prints and mails account statements. 

  • Reconciles transaction accounts daily. 

  • Monitors and posts incoming and outgoing wires in coordination with Bank Operations. 

  • Handles Trade and Cash Settlement with Custodian. 

  • Completes asset set-up and maintenance (real estate, unique assets, cds) 

  • Coordinates with Investment team for securities asset-set up, maintenance and verification. 

  • Completes Account opening and closing data entry and review. 

  • Completes updates to TAS records including, but not limited to, Categories, roles, Name and Address, Cost basis, Fee Schedules, and scheduled transactions. 

  • Works with trust accounting system to ensure maintenance of accurate records, efficient operations, strong regulatory compliance and adequate controls 

  • Responds to internal and external customer inquiries promptly, consistently and courteously and routes non-routine matters to Supervisor. 

  • Manages and completes assigned tasks based on priority and deadlines. 

  • Collaborates with internal teams to ensure strong communication and high level of accuracy and efficiency. 

  • Assists with tax processing, withholding and incoming and outgoing account transfers.  

  • Adheres to service standards and timelines for internal and external customers. 

  • Proactively identifies issues, researches and provides responses to internal and external parties as needed. 

  • Promptly escalates issues to appropriate parties. 

  • Ensures money movement follows are required approvals and documentation procedures. 

 

System Maintenance: 20% 

  • Develops & maintains proficiency in TAS by reviewing updates and known issues and completing on-going training. 

  • Assists with User Access Review and Set-up. 

  • Completes TAS system maintenance and updates as assigned. 

  • Generates exports and reports as required by internal management and third parties. 

  • Monitors and updates Accunet Administration and troubleshoots client access issues.  

 

Compliance: 10% 

  • Follows policies and procedures and recommends updates to internal procedures to ensure compliant and efficient operations. 

  • Maintains current understanding of rules and regulations as they relate to Fiduciary and Investment issues. 

  • Attends mandatory compliance and security training. 

  • Monitors daily work for adherence to compliance and security regulations, policies/procedures, and promptly notifies management of deficiencies. 

  • Maintains dual control and segregation of duties 

  • Provides assistant for Audit and Exam requests as needed. 

  • Monitors OFAC & Fincen reporting. 

Other Duties: 10% 

  • Contributes to Wealth Management team effort by supporting positive and professional work environment. 

  • Participates in projects to advance Department and bank-wide objectives. 

  • Participates in civic and community activities to generate visibility and contact for the company. 

  • Collaborates with internal teams to improve workflows and efficient handling of Department operations. 

  • Participates in internal and external training presentations on operations functions.

Qualifications

ENVIRONMENTAL CONDITIONS: 

  • Work is performed primarily indoors in an office setting.

KNOWLEDGE, SKILLS AND ABILITIES: 

  • High School diploma or equivalent, college degree preferred. 

  • Minimum 2 years banking, trust and/or wealth management operations experience preferred. 

  • Proficient computer skills (Microsoft Word, Excel, Outlook, Teams) and ability to adapt to new software. 

  • Basic accounting skills (addition/subtraction/multiplication/division). 

  • Strong attention to detail and follow through on processes and procedures. 

  • Strong written and verbal communication skills. 

  • Consistent and reliable attendance.
