Position Description

We are seeking a Receptionist to be the first point of contact for callers and visitors and play a critical role in exemplifying the welcoming and professional manner with which we treat our clients and guests.   You will collaborate with our Office Manager, Principals, and design professionals in support of our mission.

As a Receptionist, you will be an integral, full-time team member in our Administration group as you:

  • Maintain the reception area and lobby in a warm and inviting manner
  • Greet visitors and direct them to the appropriate person or location
  • Answer, screen, and direct calls on a multi-line phone system in a courteous and professional manner; take messages and/or forward telephone calls to the appropriate person
  • Oversee all incoming and outgoing mail distribution, UPS, FedEx and courier services
  • Ensure all conference rooms are clean, stocked and ready for meetings
  • Monitor conference room calendars and provide solutions to schedule conflicts
  • Perform general clerical duties including filing, photocopying, and faxing
  • Assist on projects with the Admin Team or with Project teams as requested

Qualifications

Position Requirements

  • 2-3 years’ experience in an office setting
  • Multi-Line phone system experience, preferably Zoom or similar online phone system
  • Microsoft Office 365 software proficiency
  • Punctual and outgoing personality to be able to warmly welcome individuals
  • Qualities of a self-starter to identify problems and propose solutions
  • Exceptional Time Management and Task-Switching skills
  • Excellent verbal and written communication skills

 

Position Preferences

  • An understanding of the architectural, engineering, and/or construction (AEC) industry.
  • Proficiency with Adobe Software

 

Salary Range

This position offers $18/hr - $22/hr with a midpoint at $20/hr. New hires typically receive between minimum and midpoint, however, we may go slightly higher based on experience and market.
