Primary mission:

In charge of cultivating and maintaining relationships with guests/ Groups and managing their needs in order to provide them with an upmost experience. Assist Director of Sales to achieve customer satisfaction and meet/exceed sales, revenue and profit objectives in compliance with policies and procedures while meeting financial goals. Position is responsible for supporting short and long- term planning and day-to-day operations of the Sales Division.

 

SCOPE OF WORK + TEAM

  • Reports to Director of Sales and or General Manager
  • Supports sales team, reservations, groups

 

RESPONSIBILITIES

Tues-Saturday schedule  

Field phone inquiries, answer general sales emails 

Lead catch: Take leads both over the phone and email, then process in our sales system 

Enter pertinent information into Sales, POS and Event Management systems 

Respond to inquiries, quote rates, manage comp requests, or travel agent discounts by phone and email process accordingly. 

Complete contracts and proposals with accuracy, and communicate timely and professionally with clients 

Assist in servicing small bookings 

Create and manage booking links, manage inventory within block. If additional Group rooms requested, work with Revenue Management on approval of additional rooms and add then into the block in Opera, if approved at the appropriate rate. 

Create PM and PQ numbers for group bookings 

Input group rooming lists, noting the proper routing for billing on each reservation 

Assist with pick up reports, projections and rooming list reports as needed. Monitor group pickup reports and follow up with clients when group is approaching cutoff date and has additional rooms in block that have not been picked up 

Create detailed reservations in our Property Management System and send and confirmations to clients and Agents.  

Make VIP site visit reservations with a high level of detail to include room block, amenity, and client profile, preview room on day of arrival and distribute corresponding site alerts as directed by each team member. 

Conduct site inspections on behalf of Sales and Marketing Managers, as needed. Provide property tours as necessary for all team members, representing the property professionally and accurately. 

Perform Travel Agent / Consortia / Wholesaler amenity processing. 

Handle requests for third party billing via Sertifi and commission inquiries. 

Assist in communicating with clients in response to questions or to provide clarification on on-going projects. 

Attend learning and development courses and complete eLearning modules, as required. 
Prepare donation and service recovery certificates. 

Communicate relevant information to the department, your line manager and across departments, as appropriate. 

Support Sales Department with additional projects as requested 

Qualifications

EXPERIENCE:

  • Prior Experience:
    • 3+ Previous sales employment in a related position with this company or other companies. Hospitality Sales administration related work.
  • IT Expertise:
    • Advanced knowledge of computer software (including Microsoft Office, outlook) and web analytics tools is preferred.
    • Must have basic Excel, PowerPoint, Word; PC knowledge, minimum typing speed of 50wpm, ability to write and communicate professionally, bi-lingual fluency a plus; Must be hospitality oriented and possess the ability to work under pressure. Should possess the ability to complete multiple tasks simultaneously.
  • Education:
    • High School diploma or GED required; college degree preferred.
  • Subject Expertise:
    • Demonstrate a working knowledge of all property safety and security procedures as required maintaining a secure and safe environment for employees as well as guests.
    • Report any unusual occurrences and/or request to Supervisor.
    • Read and abide by all the regulations and rules of conduct stated in the Associate Handbook.
    • Must be service oriented with excellent customer service and sales skills
    • Must be able to effectively communicate to guests, management, and coworkers and read, write and understand the English language
    • Must be energetic and outgoing
    • Must possess excellent interpersonal and organizational skills
    • Must be able to follow directions with attention to detail, speed and accuracy
    • Must be a team player with the ability to work under minimal supervision
    • Must be able to multi-task in a fast-paced work environment
    • Must be able to understand and work with basic financial information and solve basic arithmetic problems
    • Must be able to type 45 wpm and have the ability to input data and access information on the computer
    • Must have proficient working knowledge of Microsoft Office, Opera; preferred.
    • Must be able to exercise confidentiality and discretion.

OTHER EXPECTATIONS:

  • Abide by payroll policies, procedures and rules of conduct as stated in the Springboard Hospitality Associate Handbook.
  • Demonstrate a working knowledge of all company safety and security procedures.
  • Travel required: As needed for hotel familiarization, content creation shoots and to meet with colleagues.
  • Hours Required: Must primarily work during Springboard Hospitality business hours, Monday - Friday 8am - 5pm (PST), while understanding that the hotel business functions 24/7 and some weekend or holiday work may occasionally be required.
