**Schedule is Monday - Friday, 8am - 5PM, occasionally working 10am-7pm schedule.**

POSITION SUMMARY:

Under the direction of the Clinic Director, the Front Office Administrator is responsible for greeting and helping sexual health  patients; scheduling appointments; maintaining records and accounts; and other operations of OUT HERE, a new sexual health clinic serving LGBTQ+ people of color in South Los Angeles. OUT HERE will focus on providing HIV testing, STD screening and treatment, PrEP and PEP services as well as other HIV prevention and health education services.

                                                                                                              

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Welcomes patients and visitors in person or on the telephone and provides an affirming and non-judgmental patient experience; answering or referring inquiries.
  • Presents a professional front office environment for all patients and visitors in appearance, manner, and quality of work at all times.
  • Registers patients in eClinicalWorks according to clinical protocol.
  • Confirm HIV/STD testing and PrEP appointments on the schedule of the following day.
  • Checks/verifies patient’s insurance eligibility/ sliding fee status prior to and at each visit
  • Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling/registering patient’s appointments in eClinicalWorks in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Ensures the waiting area is well maintained, neat, and organized.
  • Assists patients by anticipating patients’ anxieties; answers patients’ question(s) or refers them to the appropriate clinical staff; maintains the reception area.
  • Maintains patient accounts in eClinicalWorks by obtaining, recording, and updating personal and financial information.
  • Protects patients' rights by maintaining strictest confidentiality of personal and financial information; adhering to all HIPAA guidelines/regulations.
  • Maintains operations by following policies and procedures and clinic operations; reports needed changes.
  • Delivers referrals to other Prevention community resources and programs as needed, including PrEP navigation, linkage to care, and/or substance use programs.
  • Ensures clinic flow by being an active team member.

Qualifications

 

REQUIREMENTS:

 

Training and Experience:

High school diploma or GED required, AA degree preferred. At least two (2) years’ experience working in a medical office or similar environment. Bilingual in English/Spanish preferred. Knowledge of, or ability to adequately learn, insurance plans,Medi-cal/Medicare, and other coverage sources for HIV/STD treatment and prevention. Experience working with the with the LGBTQ+ community, especially those from communities of color. Some evening and weekend hours (to be determined) required.

 

Knowledge of:

Microsoft Office programs, electronic health records - eClinicalWorks preferred.  Sexual health community resources, including HIV testing, STD screening and treatment and PrEP/nPEP.

  • Maintain a strict discipline in time management with a focus on quality
  • To learn about t insurance plans, Medi-Cal / Medicare, other coverage options
  • Learn eCW (our electronic health record system)
  • Demonstrate good computer and typing skills.

 

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

 

This is primarily an office position that requires only occasional bending, reaching, stooping, lifting and moving of office materials weighing 25 pounds or less. The position requires daily use of a personal computer and requires entering, viewing, and revising text and graphics on the computer terminal and on paper.

 

SPECIAL REQUIREMENTS:

COVID-19 Vaccination or Medical/ Religious Exemption required.
