Summary
The Human Resources Intern is responsible for completing short-term assignments, assisting employees with projects and tasks, and other Human Resources functions.
Qualifications
- Currently enrolled in college and/or pursuing a master's degree in Recreation, Sports, Tourism, Human Resources and/or related field.
- Demonstrates a friendly and approachable demeanor that creates a welcoming environment for staff.
- Ability to work responsibly with confidential material.
- Ability to work with several computer programs including Microsoft Office Suite.
- Excellent personal communication skills both written and verbal
- Ability to work independently without close supervision.
- Ability to work on weekends and evenings as necessary.
- Valid driver’s license and clean driving record.
Supervision
The Human Resources Intern reports directly to the Human Resources Manager.
Essential Functions
- Follow all Champaign Park District safety policies and perform all work in a manner that ensures the safety of the public, fellow employees, and themselves.
- Demonstrate a high level of professionalism and discretion in all interactions, including maintaining strict confidentiality regarding staff information, communications from supervisors, and conversations with parents or patrons. Uphold the Park District’s policies and standards for data privacy and confidentiality at all times.
- Assist hiring managers with interviews for candidates for seasonal and part-time positions
- Assist hiring managers with interviews for candidates for seasonal and part-time positions
- Coordinate availability of multiple people to schedule interviews
- Complete the onboarding process with all new hires including completing criminal background checks, and driver’s abstract records, sending onboarding documents, and assigning tasks as needed
- Lead orientation presentation for all new hires
- Maintain, electronic and paper employee files, notes, and other important documents
- Coordinate the long-term storage of permanent records.
- Attend job fairs and host recruitment events as needed
- Comply with equal opportunity and harassment laws, policies and procedures.
- Other duties as assigned.
Physiological Considerations
- Much of the work involves desk-based tasks, such as data entry, file maintenance, and document management, requiring prolonged periods of sitting and computer use.
- The role involves meticulous record-keeping and data management, demanding a high level of concentration and attention to detail to ensure accurate information.
- While primarily desk-based, there may be occasions when the HR Assistant needs to move within the office or attend recruitment events, requiring the ability to stand, walk, and interact with candidates.
- Must be able to lift supplies and equipment (approximately up to 40 lbs) when needed
Environmental Considerations
- Must be able to work in a shared office environment
- Strict adherence to confidentiality policies is essential, given the handling of sensitive HR information, requiring a secure and private workspace.
- Participation in job fairs and recruitment events may involve working in different environments such as conference centers or community venues, necessitating adaptability to various settings.
- Ensure that electronic and paper files, especially those containing sensitive employee information, are stored securely in compliance with data privacy regulations.
- Be prepared for the possibility of working nights and weekends, particularly during recruitment events or when accommodating interview schedules.
