Description

The Registrar is a project manager responsible for overseeing student data, records, and the scheduling processes that support the school's academic operations. This position requires strong collaboration with school leadership, counselors, and families to ensure efficient course selection, scheduling, communication, and reporting systems. The Registrar plays an essential role in maintaining the integrity of student records while leveraging data and technology to provide strategic information that informs decision-making.

This position operates within a dynamic school environment, requiring flexibility, problem-solving, and responsiveness to student, staff, and school leadership needs. Occasional evening or weekend hours may be required during peak scheduling or reporting periods.

Key Responsibilities:

Master Schedule Development

  • Collaborate with the Principal to develop, manage, and finalize the school’s master schedule in both the Middle and High School.

Course Selection Process

  • Oversee the course selection process from start to finish in partnership with school counselors to ensure accurate course registration and placement for students, along with a positive end-user experience for our families and students.

Student Records and Grade Management

  • Manage grade reporting, transcripts, and cumulative student records.
  • Oversee awards and recognition data, including Honor Roll, Graduation GPA, and Academic Letter qualifications.

Database Management

  • Maintain the school’s Infinite Campus database, ensuring the accuracy and integrity of student and family data.
  • Set up and maintain parent and staff portal accounts.

• Reporting and Strategic Data Support

  • Generate ad-hoc reports to provide key strategic data for school leaders. o Create alumni reports using Clearinghouse data through Naviance.

Communication Systems

  • Support school operations through Messenger 2.0, Letter Builder, and other communication tools.
  • Manage emergency communications and regular updates to families and staff.

Technology Integration

  • Maintain and leverage Naviance for guidance counselors to support student success. o Manage the Minnesota Direct Admissions process through Infinite Campus.
  • Oversee sharing of student information with third-party vendors.

School events/Guidance & Counseling Support o G&C office receptionist

  • Collaborate with Student Life Team to support academic events (e.g., Parent/Teacher Conferences, Academic Awards Night, Graduation)
  • Collaborate with the Guidance & Counseling office to support department events and projects.

Qualifications

Required Qualifications:

  • Desire to be part of an educational faith-based community.

  • Experience in information systems or database management (e.g., Infinite Campus, PowerSchool, Naviance, or similar

    platforms).

  • Strong organizational and project management skills with the ability to manage multiple priorities.

  • Excellent communication skills to effectively collaborate with school leadership, staff, and families.

  • Ability to generate, analyze, and interpret data to support school goals.

  • Proficiency in Microsoft Office Suite, Google Workspace, and relevant database tools.

  • Strong attention to detail and commitment to confidentiality in handling student records.

Preferred Qualifications:

  • Previous experience as a school registrar or in a similar role within education.

  • Familiarity with state reporting requirements and academic recognition programs.

  • Knowledge of Minnesota Direct Admissions processes, Naviance, or similar college admissions tools.
