Fleet Service Writer

General Nature of Work
Incumbents perform input and retrieval of fleet maintenance work orders, coordinate with other departments on equipment/vehicle repairs and assists in the planning, assignment, and coordination of vehicle service work. Creates and updates records and maintains files relating to vehicle maintenance, including preventative maintenance and state emissions test information. Performs various clerical and administrative duties including but not limited to preparing reports, creating electronic forms and documents, answering telephone calls, scheduling appointments, ordering supplies, maintaining files, and assisting with purchasing and inventory. 

JOB RESPONSIBILITIES

• Provides customer service by greeting customers, gathering accurate and thorough vehicle and contact information from customers
• Responds to questions and/or concerns from vehicle operator regarding work performed
• Prepares work order for service and repair, responds to requests and provides information as needed
• Diagnoses and prioritizes problems with regard to safety/out of service criteria
• Responsible for scheduling and monitoring all work performed by vendors
• Monitors vehicle ready and repair line and motor pool line.
• Records and maintains vehicle emissions reports
• Tracks and coordinates accident repairs and warranty work
• Performs clerical duties
• Picks up and delivers parts, vehicles and equipment to and from vendors and customers as needed
• Schedules requests for road maintenance and tire service
• Completes daily, weekly, and monthly reports
• Follows all policies and procedures of the Finance Department on all Fleet purchases
• Performs the essential functions as described in the physical demands and work environment sections below
• Maintains regular attendance and punctuality
• Performs additional duties as assigned.

KNOWLEDGE, SKILLS, and ABILITIES

• Specific Knowledge, Skills, or Abilities: Must have good knowledge of tasks and procedures required to perform the routine maintenance functions in the assigned department. Must be able to learn, comprehend, and apply all County or departmental policies, practices, and procedures necessary to function effectively in the position.
• Human Interaction:  Requires the ability to exchange information for the purpose of clarifying details within well-established policies, procedures and standards.
• Equipment, Machinery, Tools, and Materials Utilization:  Requires the ability to operate, maneuver and/or control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.
• Verbal Aptitude:  Requires the ability to utilize a wide variety of reference and descriptive data and information.
• Mathematical Aptitude:  Requires the ability to perform addition, subtraction, multiplication, and division. May include counting, recording of counts, and basic measuring.
• Functional Reasoning:  Requires the ability to carry out instructions furnished in written or oral form.  Involves semi-routine standardized work with minimal latitude for independent judgment concerning choices of action.
• Situational Reasoning:  Requires the ability to exercise judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties.

MINIMUM QUALIFICATIONS

• High School Diploma or GED required.
• 1-2 years of working experience in the automotive repair industry preferred, but a combination of education along with experience may be considered.
• Must possess and maintain a valid Georgia driver’s license along with a clean MVR check.

Physical Requirements: Tasks require the regular and, at times, sustained performance of moderately physically demanding work, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and that may involve the lifting, carrying, pushing, and/or pulling of moderately heavy objects and materials (50-100 pounds).

Work Environment: The work is typically performed in a shop or outdoors. The employee is exposed to noise, dirt, dust, pollen, odors, fumes, temperature and noise extremes, hazardous materials, traffic hazards, machinery with moving parts, inclement weather, wetness, humidity, and rain. The work may require protective devices such as masks and gloves.
