Job Summary: 

The Temporary Administrative Assistant plays a crucial role in providing clerical and administrative support to the Evergreen Health Insurance Program (EHIP) team, during the Open Enrollment period for medical insurance. Key responsibilities include assisting Insurance Advocates with processing insurance applications, communicating with case managers and clients via phone and mail to facilitate the application process, handling application denials and client discontinuations, and ensuring the completion of insurance plan enrollments. This position reports to the EHIP Administrative Supervisor. This full-time, non-exempt, temporary position. 

Qualifications

Essential Duties: 

  • Administrative Support: Provide comprehensive clerical and administrative assistance to Insurance Advocates and the Insurance Coordinator. Responsibilities include data entry, making phone calls, handling correspondence, managing incoming and outgoing mail, and accurately documenting interactions with clients, case managers, and vendors. 

  • Client Records Management: Ensure the timely and precise maintenance of client records within the client data systems. 

  • Database and Reporting: Execute database projects and prepare status reports as required. 

  • Client Advocacy: Advocate on behalf of clients under the guidance of the Administrative Supervisor. 

  • Customer Service: Deliver exceptional customer service to clients, case managers, insurance companies, the Department of Health's Early Intervention Program (EIP), and community partners. 

  • Additional Responsibilities: Fulfill all assigned duties and take on other tasks as needed.

  • Technical Proficiency: Demonstrated expertise and strong working knowledge of the Microsoft Office suite, including Excel, Access, and Word.

  • Attention to Detail: Meticulous and accurate in handling tasks. 

  • Flexibility and Adaptability: Demonstrated ability to adapt to changing circumstances and requirements. 

  • Communication Skills: Ability to communicate clearly and professionally in both verbal and written forms. 

  • Professional Phone Etiquette: Strong, professional phone communication skills. 

  • Team Collaboration and Independence: Proven ability to work both independently and as part of a collaborative team. 

  • Stress Management: Demonstrated capability to perform effectively under stressful conditions. 

Education and Experience: 

  • Two or more years of experience as an Administrative Assistant 

  • Experience in the medical coverage/insurance field is preferred 

  • Experience with client databases 

  • Basic knowledge of Washington state insurance laws and regulations, insurance plans, Medicare, Medicaid, the Washington State High-Risk Pool (WSHIP), and Open Enrollment dates 

Work Environment: 

  • This role is a temporary full-time (40 hours/week) position and is a hybrid model of working part-time at our Lucile office at 210 S Lucile St, Seattle, WA 98108, and part-time remotely from home.  

  • All staff are currently required to provide proof of full COVID-19 vaccination prior to hiring. The use of personal protective equipment to prevent exposure to COVID-19 may be required in the future should exposure warrant it.
