Job Title: Staff Accountant I
Department: Finance
Reports To: Accounting Manager
Compensation: Pay Grade 2 - $27.36 - $31.25 per hour
Classification: Full-Time, Non-Exempt

Job Purpose: Under direct supervision input Payment data in a correct and timely manner (1-2 days a week). Under direct supervision process all payable functions in a correct and timely manner and assist with other accounting duties (3-4 days a week).

Job Duties and Responsibilities: 

  • Process all payable checks ensuring compliance with accounting principles and standard operating procedures of the Ballet including payment terms, management, and vendor documentation for set up. Process 100% of payables with adequate lead-time for on-time receipt by vendor. Provide a thorough review of supporting documentation to ensure invoice or check request is accurate and substantiated with vendor documentation, and that account codes are used with consistency across the organization.  Be the main point of contact for all departments regarding AP policies and procedures. Monitor A/P aging report and clear invoices that are past due.
  • Maintain, track, and reconcile Association Credit Cards including ensuring compliance with Corporate Credit Card Policy.
  • Prepare monthly and quarterly sales tax payments and returns accurately and by government regulated deadlines. Ensure compliance with State and City regulations and accurate collection and remittance. 
  • Process all payable wires and ACH transactions, including credit card transactions, ensuring compliance with accounting principles and standard operating procedures of the Ballet including payment terms management and vendor documentation for set up. Process 100% of payables with adequate lead-time for on-time receipt by vendor.
  • Maintain compliance of withholding for domestic and foreign Independent Contractors with all applicable tax laws. Report independent contractor’s information to EDD and IRS in compliance with regulations by identifying, coding, and reporting Forms 1099/8, 542, 592 and 1042 information in compliance with tax laws and on deadline. Maintain compliance with withholding laws according to the Franchise Tax Board and determine which domestic and foreign independent contracts are subject to withholding; properly accounting for and remitting the withholding to the FTB in a timely manner. Maintain knowledge of independent contract regulations and report accurate information to EDD in a timely manner.
  • Focus on continuous process improvements, including automation of manual tasks. Assist Controller with documentation and maintenance of internal control system.
  • Perform reconciliations of various Statement of Financial Position accounts, including, but not limited to, Prepaid Expenses, Accounts Payable, and various clearing accounts. Assist with year-end audit as it relates to these reconciled accounts as needed.
  • Perform special administrative/organizational projects as needed. Provide timely and accurate support to non-Finance personnel requesting information pertaining to their department and/or project. Keep inventory of tax forms and related documentation.

Internal Contacts: Entire SFBA Staff

External Contacts: Vendors, including governmental agencies (IRS, EDD, FTB)

Education Level and Focus:  Minimum Some college coursework in Accounting or Bookkeeping courses 

Years and Type of Related Experience Required: 3-4  years in a similar position (Accounts Payable or general Accounting)

Professional/Technical Competencies: 

  • Strong Excel skills preferred.
  • Familiarity with Sage Intacct accounting package and SAP Concur STRONGLY preferred.

  • Within this general framework, the specific duties of this role are relatively dynamic, and change over time with the operational priorities and business needs of the organization.

Physical Demands: 6-8 hours of computer work each day. Ability to sit for long periods of time.
