Position Summary:

The Facilities Associate II will work in an open warehouse environment (cooler/freezer and humid warehouse environment), office setting as well as have responsibilities outside managing parking areas, lawn care and building requirements. This position will be a general labor opportunity within the facilities team with the focus on expanding existing experience and knowledge using maintenance tools, large equipment, attention to detail, vendor contracts, proactive review of equipment and building systems. Must be able to work within a team environment and accomplish team goals. The facilities team has reactive and planned responsibilities.

The Facilities team operates on a staggered shift schedule, with overtime/evenings/weekends/weekends as needed. Shifts generally will be 6:30 AM to 2:30 PM, 8:00 AM to 4:00 PM, 11 AM to 7 PM, or 7:00 AM to 3:00 PM. Shifts may adjust as is needed for the successful execution of needs such as snow removal, ice, heavy rain and flooding, emergency systems failure or special event or project requirements. The Facilities team needs to maintain flexibility in the working locations. Associates will be assigned in advance for the location with the priority need.

The Facilities Associate is also accountable for working as a collaborative team member by learning and understanding maintenance, safety and facilities management methods and may need administrative support to the facilities team as needed and required.

 

Primary Responsibilities:

  • General facilities and building management responsibilities which include but not limited to, ensure environment is clean and orderly, heat – cold-water systems are working well, repairs are addressed in a timely manner, new space or areas are planned and executed, and safety and security are prioritized with all actions.
  • Responsible for delivering preventative and corrective maintenance regarding landscaping and groundskeeping.
  • Responsible for attending to daily custodial needs of buildings.
  • Support projects such as space planning, pest control, waste management, safety, equipment maintenance and repair.
  • Provide customer service to Agencies and Philabundance
  • Responsible to be proactive and ensure safety and security of facility.
  • Coordinate and assist with facilities maintenance and repairs.
  • Provides support and potentially facility guidance to contractors, support renovation and repair projects.
  • Provide good customer service; communicate with customers/volunteers in a courteous manner and respect agency personnel and clientele.
  • All areas of the warehouse are expected to be clean, neat and free of miscellaneous debris.
  • Collect all boxes for recycling in preparation for pickup.
  • Manage administrative needs of the facilities team as it aligns with projects, maintenance activity, safety and security.
  • Support and manage performance to Philabundance Pillars, culture focus on People, Partnerships, Professionalism, and Progress.

Additional Duties:

  • Operate forklifts and pallet jacks and other warehouse machines and manual tools.

Qualifications

Educational Achievement:

  • High School Diploma or GED preferred. Extended Degree in Engineering, Business or Property Management a plus.
  • Serve Safe Certification preferred. Must be able to certify within 30 days of hire.
  • Forklift Certification preferred. Must be able to certify within 30 days of hire.

Work Experience:

  • Previous experience in property management maintenance or construction within a team environment. Ideally commercial.
  • Strong experience working with agreements and contacts. Understands and retains requirements and works uniquely with each project and associated vendor, assures activity aligns with Philabundance standards and requirements.
  • Proactive view of building and project needs, supports the planning and execution.
  • Experience using forklift, pallet jack and other large equipment.
  • Previous experience working within a defined operating system, follow directions,
  • Previous work in a team environment, ideally with deadlines, detail, safety, and large equipment.
  • Previous experience with organization, shared goals, and defined instructions.

Required Skills and Abilities:

  • Ability to positively influence others on best practices, OSHA requirements, DOT requirements and Safety standards.
  • Can work independently with minimal to no supervision, ensures project quality and completion.
  • Utilize databases for input and tracking, data entry must be timely and accurate.
  • Ability to read, write and complete basic math to support inventory, space calculations and tracking as is needed.
  • Must be able to tolerate some extreme temperatures when moving food and products through inventory and shipping process.
  • Ability to effectively move 50 pounds safely, and in line with team responsibilities.
  • Ability to learn and work well within a defined operating system, follow directions.
  • Ability to learn and grow with the position and the business needs.
  • Ability to handle multiple assignments simultaneously.
  • Ability to follow instructions, retain information and apply information, with minimal supervision.
  • Demonstrated ability to work independently and as part of a team.
  • Experience in a minimum of 2 of these areas:
    • Drywall/plaster repair and painting
    • Furniture assembly and relocation 
    • Changing lights and/or fixtures 
    • Plumbing repairs, replacements, installation 
    • Carpentry repairs and installations (doors, shelves, countertops) 
    • Minor repair of electrical devices 
    • Facilities safety inspections 
    • Concrete and asphalt paving inspections and repairs 
    • Grounds and security maintenance (fencing, gate arms and gates

Preferred:

  • Experience designing a project, repair, or renovation with direct ownership and ability to stay on budget and delivery on time.
  • Previous experience operating a forklifts and pallet jacks, safely and effectively.
  • Administrative capability to work with databases, (Microsoft suite, ppt, database exp. and Zoom/Teams). Must be willing and able to learn.

Essential Job Functions:

  • Must have the ability to be available evenings, weekends, and take on extended hours as business demands.
  • Occasionally, must be willing to travel within the and outside of the service area ( employee can use public transportation, rideshare services, personal vehicle or other means). Must be physically compatible with travel, office events, and meetings. Must have a valid driver’s license with a clean driving record is required to be eligible to drive Philabundance vehicles.
  • Bend, stop, crouch, climb, stand, sit, walk, and turn/pivot throughout an 8-hour shift, 5 days a week.
  • Move/lower, push/pull and carry objects/parcels no greater than 50 pounds; when moving/lowering, pushing/pulling, and carrying objects/parcels greater than 50 pounds use 2 people or mechanical.
  • Move packages to heights above shoulder and lower to foot level.
  • Ability to work inside a freezer with a temperature in the range of -10 to 40 degrees Fahrenheit as well as in a humid warehouse.
  • Ability to operate pallet jack, both manual and power, and ride jack to load/unload trucks.
  • Reach, grasp, and maintain control of items and materials used to perform activities associated with delivering and picking up packages.
  • Perform additional tasks using simple hand grasp, fine hand manipulation, and reach associated with assigned tasks such as keying.
  • Maintain a work pace aligned by meeting or exceeding piece per minute/production standards.
  • Work in an environment that will contain variable temperatures and humidity, outside weather conditions, exposure to noise, dust/dirt, confined work areas.
  • Must meet all the applicable requirements as specified by OSHA.
  • See, hear, and speak with sufficient capability to perform assigned tasks and maintain proper safety conditions.
  • Maintain an acceptable work pace and align with required personal and team deadlines. Must meet goals.
  • Demonstrate cognitive ability to:  provide direction as well as follow directions and routines, work independently with appropriate judgment, read words and numbers, concentrate, memorize, recall, identify logical connections and determine sequence of response, process proactively and identify near and long-term future needs as well as evaluate problems and escalate/inform management as is necessary.
