Summary:

Vighter is seeking to hire several Travel Coordinators to manage travel arrangements, ensure seamless logistics, and provide exceptional service to clients and team members. The ideal candidate should possess excellent communication skills, a strong ability to multitask, and a passion for creating efficient and stress-free travel experiences.

Principle Accountabilities:

  • Coordinate travel arrangements for travel staff, including booking flights, hotels, rental cars, and other transportation services, using travel booking systems and platforms.
  • Communicate with travel staff to gather travel details, preferences, and special requests.
  • Request and collect receipts and other documentation from travelers to support expense reconciliation for each trip.
  • Review travel-related invoices, receipts, and expense reports to ensure accuracy, completeness, and compliance with company policies.
  • Reconcile travel expenses against approved budgets and travel policies, identifying discrepancies and resolving issues as needed.
  • Prepare and submit accurate and timely expense reports to clients, providing supporting documentation and explanations as required.
  • Maintain organized and up-to-date records of travel bookings, receipts, and expense reports, ensuring confidentiality and security of sensitive information.
  • Assist travel staff with travel-related inquiries and issues, providing timely and accurate information and assistance to resolve concerns.
  • Collaborate with internal teams and external partners to address client needs, resolve issues, and improve processes and procedures.

Knowledge and Skills:

  • Must have exceptional customer service skills.
  • Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
  • Ability to work in a fast-paced changing environment with limited supervision
  • Excellent organizational, scheduling and prioritization skills.

Education:

  • High school diploma or equivalent required; associate's degree or certification in logistics, supply chain management, or related field preferred.

Qualifications:

  • Minimum of 3 years of experience in logistics or supply chain management, with experience working in remote or challenging environments.
  • Strong attention to detail and organizational skills, with the ability to maintain accurate records and documentation.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook, and Google platforms with experience using logistics software or systems preferred.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external partners.
  • Ability to work independently and prioritize tasks in a fast-paced, dynamic environment.
  • Willingness to travel to remote sites and work in challenging environments as required.

Duty Hours / On-call Requirements:

  • Generally speaking, the corporate office is open 8 a.m.-5 p.m.; however, during times of rapid mobilization and coordination of travel, hours may be extended to include days, nights, weekends and holidays.

Travel:

  • As required to satisfy the contractual obligations. Generally, travel is limited to commute from residence to the worksite. Commute is non-compensatory. All official travel is government-funded.

Physical Requirements:

  • Must be able to sit for more than 8 hours per day.
  • Must be willing to work overtime if necessary.
  • Must be able, with advance notice to float to surgical sites within 15 miles.
  • Must be able to use an elevator or walk up and down stairs.
  • Must be able to lift up to 40 pounds and carry up to 10 feet.
  • Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
  • Must be able to read and interpret handwritten and typewritten print.
  • Must be able to communicate by voice and detect sound by ear.
  • Must be able to perform duties in an indoor or outdoor environment
  • Must be able to pass a criminal background investigation
  • Must undergo Urine Drug Screening (UDS).
  • Positions require applicants to be US Citizens, 21 years or older. 
  • Must complete criminal background check, and Child Abuse and Neglect (CAN) background check.
