Summary:
Vighter is recruiting multiple Business Assistants to provide vital administrative and operational support. This role involves streamlining workflows, managing schedules, and facilitating efficient communication across teams. Strong organizational skills and proficiency in office technology are essential, along with the ability to multitask.
Principle Accountabilities:
- Provide administrative support to the management team, including scheduling appointments, arranging meetings, and managing calendars.
- Prepare and organize documents, reports, presentations, and other materials for meetings and presentations.
- Assist with project coordination and management, including tracking progress, managing timelines, and coordinating communication among team members.
- Handle incoming calls, emails, and inquiries, providing information and assistance as needed or directing inquiries to the appropriate person.
- Coordinate travel arrangements, including booking flights, hotels, rental cars, and other accommodations, and preparing travel itineraries.
- Assist with event planning and coordination, including scheduling and coordinating logistics for meetings, conferences, and special events.
- Maintain organized and up-to-date filing systems, both electronic and physical, ensuring easy access to important documents and records.
- Assist with financial tasks, such as processing invoices, tracking expenses, and reconciling accounts, using accounting software or spreadsheets.
- Conduct research and gather information as needed for various projects, reports, and presentations.
- Collaborate with team members and other departments to support the overall goals and objectives of the company.
Knowledge and Skills:
- Must have exceptional customer service skills.
- Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
Education:
- High school diploma or equivalent required; associate or bachelor’s degree preferred.
Qualifications:
- Minimum of 2-3 years of experience in administrative support or office management.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office equipment and software.
- Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and staff.
- Proactive and self-motivated, with the ability to work independently and prioritize tasks effectively.
- Strong organizational and time management skills, with the ability to multitask and meet deadlines in a fast-paced environment.
- Attention to detail and accuracy, with a commitment to producing high-quality work.
- Experience in business administration, project coordination, or event planning preferred.
- Willingness to travel to remote sites and work in challenging environments as needed.
Duty Hours / On-call Requirements:
- Generally speaking, the corporate office is open 8 a.m.-5 p.m.; however, during times of rapid mobilization and coordination of travel, hours may be extended to include nights and weekends.

Travel:
- As required to satisfy the contractual obligations. Generally, travel is limited to commute from residence to the worksite. Commute is non-compensatory. All official travel is government-funded.

Physical Requirements:
- Must be able to sit for more than 8 hours per day.
- Must be willing to work overtime if necessary.
- Must be able, with advance notice to float to surgical sites within 15 miles.
- Must be able to use an elevator or walk up and down stairs.
- Must be able to lift up to 40 pounds and carry up to 10 feet.
- Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
- Must be able to read and interpret handwritten and typewritten print.
- Must be able to communicate by voice and detect sound by ear.

- Must undergo Urine Drug Screening (UDS).
- Positions require applicants to be US Citizens, 21 years or older.
