Description

The Chain and Event Administrator is responsible for vendor relations, pricing, data and event management to help maximize alcohol/non alcohol beverage sales and profits within grocery and restaurant chains. This position is expected to participate in an atmosphere that promotes trust, creativity, accountability, and personal development. The job is fast-paced and will require excellent communication, time, and task management skills. Success in this role will always require open and honest feedback to all members of the team.

Duties include:

  • Works directly with the National Accounts Manager and closely with the Director of Sales and Marketing.
  • Manages Chain Account related data.
  • New product set ups and submissions.
  • Cost submissions and maintenance.
  • Discrepancy management of invoiced cost and accounts receivable.
  • EDI transfer accuracy.
  • Chain Buyer presentation preparation.
  • Other chain accounts needs as assigned.
  • Overall event support and relationship building that includes; overseeing special events/festival protocol/on hold product.
  • Working closely with all internal staff (mainly Sales Team Coordinator, Portfolio Director, Brand Manager, and Warehouse Management).
  • Oversees the logistics, communication, and proper internal paperwork and protocols to ensure both supplier needs and internal operations are met.
  • Maintains accurate notes and paperwork to minimize discrepancies and disputes.
  • Daily data and invoice management.
  • Sales and Marketing Department Administrative Assistant coverage as needed.
  • Assisting in phone answering as needed.
  • Provide ongoing support for special projects.
  • Operates standard office equipment.
  • Maintains a professional office environment.
  • Performs other duties as assigned.

Qualifications

  • Math Ability: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply advanced mathematical concepts such as exponents, logarithms, quadratic equations, and permutations. Ability to apply mathematical operations to such tasks as frequency distribution, determination of test reliability and validity, analysis.
  • Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  • Computer Skills: Knowledge of word processing software; spreadsheet software; inventory; order processing; and database software.
  • Language Ability: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Education/Experience: Bachelor's degree (B. A.) from four-year college or university preferred; industry experience also preferred or equivalent combination of education and experience.  Events management and customer service experience preferred.
