SUMMARY

The Administrative Assistant provides administrative support to the Controls Department leadership, including the Director of Controls Integration and their direct reports.  This role primarily handles administrative tasks for the Controls Department, such as coordinating meetings, handling correspondence, and assisting with related activities to ensure the smooth functioning of the department.  The Administrative Assistant also leads general event planning and coordination activities for the Grand Rapids office.

DUTIES AND RESPONSIBILITIES

  • Provides day-to-day administrative support to the Director and departmental managers, including scheduling meetings, managing calendars, and coordinating travel.
  • Prepares, proofreads, and distributes documents and correspondence.
  • Maintains filing systems and performs data management tasks as required, such as entering data and compiling reports.
  • Coordinates meetings for the department, preparing agendas, taking minutes, and monitoring follow-up on action items.
  • Plans and organizes departmental events, team building, and offsite activities, ensuring all logistics are handled.
  • Supports key department projects by organizing materials, tracking progress, and ensuring deadlines are met
  • Assists with planning and leads execution (including setup, takedown, and logistics coordination) of office events, such as trainings, workshops, and celebrations
  • Performs additional duties as required.

REQUIREMENTS

Education:

High school diploma or equivalent

Experience:

Prior experience handling administrative responsibilities in an office environment

Skills & Abilities

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Excellent organizational skills with the ability to manage multiple tasks efficiently
  • Exceptional verbal and written communication skills
  • Experience coordinating travel and managing complex calendars advantageous

Physical Requirements

  • Ability to sit for extended periods of time.
  • Ability to use office equipment and computers throughout working day.
  • Ability to stand, walk, and reach with hands and arms regularly.
  • Ability to lift and carry supplies and materials up to 25 lbs on occasion.
  • Ability to see, talk, and hear regularly.
