POSITION SUMMARY:  

The Accounts Payable Specialist is responsible for processing and paying invoices and employee expense reports; validating and maintaining vendor information; and processing annual 1099 filings; ensuring timely and accurate payment processing and reporting.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Enter, code and route invoices in Accounting software according to company policies and procedures.

  • Prepare and process invoice payments twice a week (checks and ACH) and save reports for review.

  • Mail checks in a timely and efficient manner.

  • Review and process employees’ expense reports for payment.

  • Prepare a monthly file for payroll to process employee reimbursements.

  • Prepare, review, and electronically submit 1099-MISC & 1099-NEC information to the IRS annually.

  • Responsible for all internal staff and external customers (vendors, government agencies, etc.) in resolving accounts payable issues via email, phone, or direct communications.

  • Provide assistance with the monthly close process.

  • Regularly maintain all desktop procedures for position.

  • Perform other tasks and duties as assigned.

Qualifications

EDUCATION and/or EXPERIENCE

  • AA in Accounting or equivalent work experience and at least two years accounting experience preferably in the banking industry.

  • Strong analytical skills and attention to detail are required.

  • High level of discernment and protection of private non-public information are required.

  • Ability to communicate effectively both written and verbally.

  • Ability to establish and maintain effective and appropriate relationships with team members, external department employees and vendors.

  • Knowledge of the Bank Secrecy Act and Anti-Money Laundering policies, procedures, and related programs.

 

COMPUTER SKILLS

To perform this job successfully, an individual should be proficient in Microsoft Office Products (mainly Excel and Word) and other general ledger software and applications; Prologue and Certify a plus.

  • The employee will operate in a general office environment, using office equipment such as a phone and a computer. The employee must be able to bend and squat occasionally when accessing storage.
