Assistant to the Athletic Director

SUMMARY

Palm Beach Atlantic University’s (PBA) Athletic Department is seeking applications for the position of Assistant to the Athletic Director. Located in West Palm Beach, Florida, PBA is a non-denominational Christian University, an NCAA Division II institution and member of the Sunshine State Conference (SSC). This is a full-time position that reports directly to the Director of Athletics and as the principal support for the athletics senior administrative team consisting of; Athletic Director, Associate Athletic Director for Administration, and Compliance Staff. This position will oversee and maintain the Athletic Director’s schedule and calendar while providing support to compliance and the Student-Athlete Advisory Committee (SAAC). This position is also responsible for fiscal support of the Athletics Department by preparing, analyzing and monitoring assigned budgets; audits and reviews financial reports and provides oversight of daily departmental fiscal operations.  

The ideal candidate will have an interest in athletics, strong communication skills, and have a basic understanding of general accounting principles. 

JOB RESPONSIBILITIES

Responsible for oversight of the department’s budget and fiscal operations.

  • Assist in budget development 
  • Responsible for monitoring departmental budgets and auditing as appropriate 
  • Manage all departmental purchasing cards and reconciliation 
  • Process departmental invoices and expense statements 

Provide administrative support to the Director of Athletics and Associate Athletics Director

  • Manage the Athletic Director’s and Associate Athletics Director’s calendar. 
  • Schedule and organize travel and meetings. 
  • Prepare meeting notes, reports and presentations as assigned. 

Adheres to all National Collegiate Athletic Association (NCAA), Sunshine State Conference (SSC) and University rules and regulations 

  • Responsible for working in adherence to all budgetary guidelines, as well as University, Sunshine State Conference (SSC) and NCAA rules and regulations. 
  • Attends mandatory compliance and departmental meetings as scheduled.

Serve as Student-Athlete Advisory Committee co-advisor

  • Assist with the planning and facilitation of SAAC meeting and events. 
  • Act as a link between student-athletes, coaches, administrators and the Sunshine State Conference.

 

EDUCATION AND EXPERIENCE:

  • A Bachelors degree from an accredited university or college in an appropriate discipline is required.
  • Three years’ experience in athletics administration or related work experience 
  • Strong analytical and communication skills are an essential element of the position.
  • Responsible for expense management within program budget. 
  • Responsible for direct and indirect area supervision
