Position Overview:

This role is responsible for managing a variety of administrative tasks, supporting employee engagement initiatives, and ensuring smooth day-to-day office operations. The Office Administrator will plan and execute employee events, manage vendor relationships, and oversee facility tasks while providing exceptional customer service to both internal teams and visitors. In addition, the position includes responsibilities such as coordinating special employee occasions, supporting committees, and maintaining office supplies and facilities.

Primary Responsibilities:

  • Planning and executing hospitality for employee engagement activities such as events, meetings, and luncheons.
  • Coordinating office decorations and employee special days (birthdays, anniversaries, etc.).
  • Managing the annual employee donation program.
  • Leading the Event Committee and serving as Secretary for the Safety Committee.
  • Overseeing relationships with facility vendors and managing office inventory.
  • Supporting general office duties including kitchen and break room tasks, conference room maintenance, and clerical support.
  • Greeting visitors, directing calls, and managing incoming/outgoing mail

Qualifications

Position Must Haves:

  • A strong desire to contribute to the team through hospitality.
  • Excellent reception skills.
  • Reliable attendance and punctuality.
  • Strong attention to detail and the ability to recognize errors and discrepancies.
  • Outstanding customer service, verbal communication skills and tact. 
  • Ability to understand and speak clearly in English to callers.
  • Ability to multi-task and prioritize work with little supervision.
  • Excellent organizational skills.
  • Strong work ethic and can-do attitude.
  • Knowledge of MS Word, Excel, and email. Keyboarding and data entry skills.
  • Ability to reach overhead, bend and stoop, as well as pulling, pushing and lifting up to 10lbs.
