Job Purpose:


The Events Coordinator plays a critical role in bringing our mission to life by planning, coordinating, and executing a variety of impactful events. These events help foster community engagement, deepen relationships with donors and sponsors, and enhance our ability to serve at-risk youth. From our prestigious annual gala to intimate donor stewardship gatherings, you will create memorable experiences that inspire action, uplift spirits, and ensure the success of Rawhide’s programs.

 

Essential Functions:

  • Organize and manage all aspects of fundraising and stewardship events to ensure a smooth, mission-driven experience.
  • Lead the planning of events such as our annual Gala, special summer events, donor stewardship functions, and internal staff celebrations.
  • Build and maintain strong relationships with sponsors, donors, vendors, and attendees to foster long-term engagement.
  • Collaborate closely with Development and Marketing teams to secure sponsorships and promote events effectively.
  • Manage event logistics, including venue selection, décor, catering, entertainment, and on-site execution.
  • Track and manage event budgets, invoices, and post-event financial reporting to ensure fiscal responsibility.
  • Support marketing efforts by coordinating event promotions across various platforms.
  • Ensure events align with Rawhide’s mission, values, and community impact.

 

Job Responsibilities:


Event Planning and Execution

  • Lead the end-to-end planning of fundraising and donor events, ensuring flawless execution.
  • Collaborate with internal teams, volunteers, and external vendors for seamless coordination.

Donor and Sponsor Engagement

  • Build and maintain meaningful relationships with event attendees, donors, and sponsors.
  • Support the Development team in securing sponsorships and enhancing donor engagement.

Logistics and On-Site Management

  • Handle all event logistics, including venue, catering, décor, and entertainment.
  • Oversee event-day operations and post-event duties, ensuring smooth transitions.

Budget and Financial Oversight

  • Track and manage event budgets, process payments, and report on financial outcomes.
  • Analyze financial outcomes to optimize future event planning and execution.

Marketing and Promotion

  • Collaborate with the Marketing team to create compelling promotional materials.
  • Ensure all event marketing aligns with Rawhide’s brand and messaging strategies.

Data Management and Reporting

  • Maintain detailed records of event registrations, payments, and follow-up actions.
  • Provide comprehensive post-event reports to guide future planning.

Qualifications

  • Bachelor’s degree in a related field is preferred.
  • A minimum of 2 years of experience in event planning, ideally within a non-profit setting.
  • Strong project management, organizational, and relationship-building skills.
  • Proficiency in Microsoft Office and donor/CRM management systems.
  • Ability to work independently while managing multiple events simultaneously.
  • Willingness to work evenings, weekends, and extended hours as needed.
  • Valid driver’s license.
  • This role may involve occasional lifting, standing, and travel as needed for event-related activities. Extended hours, including evenings and weekends, may be required during peak event seasons.
