Brophy College Preparatory is currently seeking an Assistant to the VP for Finance and Operations to begin early Summer 2025

 

The Assistant to the VP of Finance and Operations provides broad support to the VP for Finance and Operations, as well as to the Business Office. Ideal candidates will be detail oriented, great communicators, and have working knowledge of G-Suite applications (including Google Sheets and Docs), Google Drive along with an ability to pick up systems quickly. 

 

Job Title: Assistant to the VP for Finance and Operations

Position Reports to: Vice President for Finance and Operations

Classification: Non-exempt, salaried (overtime paid at 1.5x)

Job Status: Full Time (40 hours), 12-months

Start Date: flexible, around June 2025

 

Support to the VP of Finance and Operations:

  • Triage emails and phone calls
  • Assist with travel arrangements
  • Confirm, proofread and upload annual faculty contracts
  • Edit, update, and proofread the Staff and Faculty Handbooks annually
  • Create and manage the semi-annual staff performance review process in Paycom
  • Investigate and triage resolutions on a variety of topics that typically arise through normal operations
  • Maintain calendar for VP, book meeting rooms, schedule meetings
  • Coding of all charges on VP’s school credit card in Visa Spend Clarity
  • Monthly reconciliation of all school credit cards (20)  in Visa Spend Clarity/Blackbaud
  • Assistance to employees with coding of expenses for AP processing and credit card purchases
  • Gather and write the Business Office updates for the Admin Bulletin distributed to all faculty and staff weekly
  • Write bi-weekly Bronco Beat Newsletter updates that are communicated to all families
  • Gather and sort mail for VP of Finance and Operations
  • Provide backup to front desk when necessary - greet visitors, run mail through postage machine
  • Flexibility to research and support as needed on a variety of tasks

 

Support to the Student Billing Department:

  • ESA liaison to parents with Brophy students
  • Support Billing and Financial Aid Specialist with student billing questions 
  • Support Billing and Financial Aid Specialist with financial aid / STO questions generated from parents
  • Support Billing and Financial Aid Specialist with student billing date changes in Brophy’s billing system

 

Support to HR Specialist:

  • Create Safe Environment Training (SET) materials annually in Paycom, assign and monitor SET to faculty, staff, and new employees. Create reports for CMG yearly
  • Create and assign Faculty and Staff handbooks annually in Paycom, assign to faculty/ staff, and new employees
  • Onboard Volunteers as needed in Paycom
  • Monitor IVP Fingerprint Cards for current status, work with employees to obtain cards,  and update in Paycom
  • Support with onboarding of coaches, Summer Enrichment, and Summer School
  • Support with Employee Benefits Open Enrollment - validating changes in coverage with employees, making requested changes in Paycom for employees, being a resource for employees regarding coverage options
  • Assist in managing data available in Paycom for accuracy

 

Support to Accounts Payable

  • Weekly - upload invoices to Blackbaud and Google Drive
  • Request and research missing documentation to support payables as needed
  • Create regular and miscellaneous invoices
