SUMMARY OF JOB RESPONSIBILITIES:
- Perform cash management, including reconciliation of bank and petty cash accounts
- Perform and maintain general ledger and sub-ledger account reconciliations, ensuring GL accounts remain current and accurate
- Enter general journal entries and journal uploads into accounting system, maintaining accuracy
- Perform various analyses of financial reports, general ledger accounts, and performance measures, and evaluate financial performance, reporting them to appropriate departments and key personnel
- Manage and reconcile the general ledger accounts; prepares and enters journal entries into the general ledger system
- Prepare routine and ad hoc reports as needed
- Maintains a thorough knowledge of the agency’s grants including, budget, allowable billable expenditures, and ensures proper billing according to fiduciary guidelines
- Journalize various costs and statistics, including accounts payables, enrollment, and In Kinds
- Responsible for creating financial and custom reports and form/invoice templates in agency’s ERP system
- Increase productivity by developing automated reporting tools
- Reconcile to ensure uploaded payroll totals are correct and match up to the payroll system
- Assist with external and fiscal audit activities
- Perform internal audits to ensure accuracy of financial record keeping and monetary spending
- Manage and assist in system and procedural implementations
- Assist the Director of Finance in the development and completion of financial statements and reports
- Conduct month end close, including bank reconciliations and all general journal entries and uploads
- Provide back up as needed in the absence of other accounting staff due to overflow of duties, including but not limited to:
- Reconciliation of grant billings to the general ledger and respective grant spend-downs
- Performing follow up and collections on outstanding customer and grant invoices
- Collaborating with HR team on payroll to ensure proper accounting from payroll to accounting system
- Performing payroll support for employees and contractors, including back up in the absence of a payroll personnel
- Recording changes affecting new wages, such as exemptions, insurance coverage, and loan payments for each employee to master payroll records
- Reviewing wages computed and correct errors to ensure accuracy of payroll
- Entering new vendors into system, including obtaining vendor W-9
- Setting up, terminates, and maintains contractors in payroll system
- Assisting with setting up new company credit card holders, cancelling and suspending credit cards, and updating/maintaining card holder spending limits
- Generate and distribute tax documents when due, including payroll and contract related tax and reporting documents, 1095s, 1096s, 1099s,W-2s, and other documents, ensuring reports and payments are on time
- Coordinate and communicate financial information with department managers
- Coordinate and communicate budget performance to program directors and coordinators, ensuring proper use and expenditure of funds

- Ability to work primarily at the corporate office, and remotely when necessary
