SUMMARY

The Facilities & Property Support Specialist provides vital support in the daily operations of commercial real estate properties, working closely with the Property Manager to ensure smooth management of tenant relations, property maintenance, vendor coordination, and administrative tasks. This role is instrumental in helping maintain operational efficiency, regulatory compliance, and tenant satisfaction.


ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Help coordinate vendor services, monitor work performance, and ensure services are in line with contractual obligations and property standards.
  • Track and manage service orders and vendor work requests, including collecting and organizing bids for property repairs or improvements.
  • Help ensure all property operations are carried out in compliance with company policies, lease agreements, and relevant regulations.
  • Conduct regular property inspections and report findings or maintenance needs to the Property Manager.
  • Coordinate vendors’ work orders, service schedules, and compliance documents (e.g., Certificates of Insurance).
  • Obtain and evaluate vendor bids/estimates for property repairs and services.
  • Assist with the preparation of reports, budgets, and financial documents as directed by the Property Manager.
  • Supervise the overall operation of the park, including attractions, guest services, and all public areas.
  • Monitor and secure the safety of facilities, ensuring all guests and staff follow park policies and safety protocols. Support staff in guest interactions, maintenance, cleaning, and other operational duties as required
  • Manage minor maintenance tasks and coordinate with external vendors or agencies for urgent repairs.
  • Oversee facility cleanliness, enforce code of conduct, and ensure compliance with health and safety regulations.
  • Document incidents, maintenance needs, and operational issues for review by leadership. 
  • Communicate with property and facility management to update them on weekend operations, emergencies, or significant events

Qualifications

JOB-RELATED QUALIFICATION STANDARDS

  • 1–3 years of experience in commercial real estate, property management, or administrative support preferred.
  • Excellent communication, customer service, and organizational skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with Yardi or similar property management software a plus.
  • Ability to handle sensitive information with professionalism and discretion.
  • Strong attention to detail and ability to prioritize tasks in a fast-paced environment.
  • Team-oriented with a proactive and resourceful attitude.

Working Conditions:

  • The role requires flexibility, with some evening and weekends work.
  • Flexible and long hours are sometimes required including working weekends, holidays & hours exceeding 40+
  • Ability to walk long distance is required
