Overview:

The Accounts Payable Specialist assists with daily accounting activities such as entering invoices and expense reports, ensuring proper coding of items to general ledger account, performing month end reconciliations, and maintaining vendor records. We are looking for an individual with strong attention to detail, excellent organization and communication skills, and someone who enjoys learning in a fast-paced, team-oriented environment. This is an in-office position in our Greensboro, GA location, and is not eligible for remote work assignment.

 

Responsibilities:

Consistent with and according to accounting department and Company policies and procedures:

  • Prepares all invoices and expense reports for payment for Bank.
  • Ensures all invoices are routed to the appropriate party for approval.
  • Ensures all invoices are properly coded to correct cost centers/allocations and general ledger accounts.
  • Prepares, codes and processes fixed assets and prepaid expense reporting.
  • Monitors all vendor payment agreements.
  • Prepares monthly sales and use tax reports.
  • Performs Bank month-end reconciliations as assigned and by required deadlines.
  • Keeps inventory of all checks for Bank and Affiliates.
  • Maintains vendor records.
  • Prepares year end 1099 forms for vendors.
  • Performs additional duties as requested.

 

Key Results Areas:

Reconcile and verify invoices within the accounting/finance department and enterprise. Assist department and auditors with various activities as assigned. Responsible for paying company bills and ensuring that financial statements include the correct information.

Qualifications

Experience & Education:

A high school diploma or equivalent is required. One to two years of prior accounting / AP experience preferred. An understanding of current accounting trends and competence in financial and bookkeeping software is a plus.

 

Required Knowledge, Skills, Abilities:

A successful Accounts Payable Specialist will have both organizational, critical thinking, and analytical skills. They should be able to process numbers, generate reports and find discrepancies. Other required skills include:

  • Ability to use Microsoft productivity software such as Excel and Word.
  • Excellent attention to detail.
  • Effective corporate communications skills.
  • Ability to consistently meet all deadlines.

 

Other Requirements:

Satisfactorily complete all required compliance training and compliance with all laws and regulations that apply based on the scope of this position.

 

Interpersonal Skills:

Courtesy, tact, and diplomacy are essential elements of the job. Work involves personal contact with others inside and/or outside the organization, regarding routine matters for purposes of giving and obtaining information, as well as advising or referring, which commonly require shorter discussions.

 

Physical Requirements:

Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 25 lbs. Must be capable of climbing/descending stairs in an emergency. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on a computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable, and timely attendance.

 

Working Conditions:

Must be able to routinely perform work indoors in climate-controlled shared work environment with moderate noise.

 

Mental and/or Emotional Requirements:

Must be able to perform job functions independently and with limited supervision. Must work effectively as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be able to perform basic financial calculations with accuracy. Must be capable of dealing calmly and professionally with numerous different personalities from diverse cultures at various levels within and outside of the organization and demonstrate highest levels of customer service and discretion when dealing with the public. Must be able to perform responsibilities with composure under stress of deadline, requirements for extreme accuracy and quality and/or fast pace. Must be capable of exercising highest level of discretion on confidential matters.
