Description

Position:  Receptionist and Care Ministry Assistant              

Classification:  Full Time, Non-Exempt (40 hrs per week, M-F)

Primary Reporting Relationship:  Executive Assistant to the Lead Pastor/Office Manager

Secondary Reporting Relationship:  Pastor of Care and Counseling

Ministry Area:  Ministry Staff, Pastoral Department, Care and Counseling Ministries  

Interfaces:  Church, school, and preschool staff members, church members, visitors, contractors, and other stakeholders as identified and appropriate

 

Job Purpose:  The primary responsibility of the Receptionist and Care Ministry Assistant is to support the church’s vision by functioning as the front-line representative for Bay Area Church throughout the week to all visitors, church members, and staff. This position also provides administrative support to the Pastor of Care and Counseling and the Living Water Biblical Counseling ministry. The goal of all support staff is to allow ministerial staff to fulfill their individual responsibilities with excellence.

Major Responsibilities:

Church Office Administration

  • Answer and transfer telephone calls and distribute messages to the appropriate individuals

  • Answer the front doorbell to screen visitors and grant access to the building

  • Greet visitors and help them connect with the appropriate staff members

  • Screen visitors and contractors through the Raptor badge system

  • Coordinate approval and preparation of all worship guides, inserts to the worship guides, and any other Wednesday/Sunday publications as needed

  • Accept and deliver incoming mail and delivery packages

  • Order and maintain postal supplies 

  • Maintain supply inventory in the church staff workroom and break room areas

  • Submit purchase orders and check requests into the finance system weekly

  • Enter visitor data into the church database system for weekly processing

  • Assist Office Manager with hospitality arrangements for funerals, weddings, and special events

  • Prepare birthday cards and work anniversary lists for monthly all-staff meetings

  • Monitor approved time-off requests and add them to the church staff calendar

  • Communicate the weekend on-call list for ministry and operations staff weekly

  • Submit portal requests for general office maintenance needs or clean-ups

  • Serve as liaison for office equipment repairs when needed, including the workroom copier and folding machine

  • Order and maintain coffee bar supplies for the church office and church services and events

  • Assist with project management as assigned by supervisors

  • Use the approved sub list to arrange coverage for the reception desk for absences, whether planned or unplanned 

  • Other duties as assigned

 

Care and Counseling Administration

  • Provide administrative support to the Pastor of Care and Counseling

  • Update and distribute prayer request needs and hospital reports to ministry staff, elders, and deacons

  • Facilitate logistical needs for the leaders of care and counseling classes (e.g., Grief Share, Family Grace Group, Divorce Care, and Celebrate Recovery)

  • Enter weekly attendance data for care and counseling classes into the church database system

  • Coordinate sympathy flowers, cards, meal trains, etc., for staff, elder, and deacon families in times of need

  • Coordinate distribution of grief booklets

  • Reserve rooms and prepare materials for Living Water classes 

  • Send correspondence to Living Water counselors regarding upcoming conferences and meetings

  • Coordinate travel logistics for off-site conferences and workshops, including registration

  • Coordinate logistics for on-site conferences and workshops

  • Respond to inquiries regarding the Living Water program

  • Maintain inventory of Living Water resources

  • Other duties as assigned

Qualifications

Required Skills and Abilities:

  • Familiarity with basic office equipment (multi-line phones, fax machines, and scanners)

  • Strong interpersonal skills with a professional and friendly demeanor

  • Excellent phone etiquette

  • Communicates clearly and effectively

  • Maintains a high degree of confidentiality and discretion

  • Possesses excellent organizational skills and manages time efficiently

  • Ability to multitask effectively

  • Ability to maintain composure in stressful situations and interactions

  • Possesses basic computer skills and knowledge of word processing programs (Google Workspace, Microsoft Word, Excel, PowerPoint)

  • Must be able to exert up to 20 pounds of force occasionally; 10 pounds of force frequently; and/or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects; perform repetitive motion, such as grasping, picking, pinching, typing, or otherwise utilizing finger dexterity

  • Must be able to regularly remain stationary at the computer, requiring repetitive finger movements and manual dexterity

  • Must possess the ability to observe details at close range required for viewing a computer monitor, preparing and analyzing data and figures, transcribing, and reading

  • Must possess the ability to perceive sounds at normal speaking levels with or without correction; possess the ability to receive detailed information through oral communication and to make discriminations in sound

  • Must possess the ability to express ideas using the spoken word to convey instructions to church members, staff, and other stakeholders accurately, loudly, and/or quickly

  • Activities occur primarily indoors, but the worker may be subject to outdoor environmental conditions on occasion
