Description

The Manager of Facilities oversees all aspects of day-to-day building and grounds functions, code compliance, and safety of all facilities. Duties include running routine inspections, coordinating preventative maintenance, corresponding with contractors, planning maintenance work, maintaining records, addressing day-to-day issues, assigning work and the regular follow up of that work. Our ideal candidate is well-versed in facilities management; exhibits high multitasking and organizational abilities; and enjoys variety in daily work, uncovering cost savings, developing efficiencies, generating improvements, and problem solving. 

 

This position has the following responsibilities: 

  • Manage Work Order (WO) system and work with Grace Chapel facilities techs to prioritize daily/weekly work. Goal = Improve the efficiency of WO completed.    

  • Schedule inspections, preventative maintenance, and repairs with outside vendors. Goal = Maintain health and safety requirements, occupancy compliance, environmental conditions, HVAC function, and cleanliness of interior spaces and exterior areas. 

  • Ensure proper security measures for the workplace, including collaborating with security system vendors and security professionals 

  • Generate reports on maintenance, repairs, utilities, and safety. Goal = Create improvement plans and budgets. 

  • Run routine maintenance inspections. Goal = Uncover issues before ministry staff or attenders.  

  • Reviews plans for facility improvements and discusses equipment needs and modifications with Director of Facilities 

  • Confers with Director of Facilities to resolve maintenance problems and recommend measures to improve operations and conditions of facilities and equipment. 

  • Oversee the work for minor construction jobs. 

  • Bid out, negotiate, and oversee the work of contractors. Track and pay invoices. 

  • Check completed work by vendors and contractors. 

  • Recommend maintenance, mechanical, electrical, and facility design modifications. 

  • Maintain day-to-day operations of facilities, such as delegating or completing maintenance orders, staff inquiries, scheduling inspections and emergency repairs with outside vendors. 

  • Provides overall coordination of facility maintenance, including planning and developing 

preventative maintenance plan. 

  • Ensures repair work is completed by Facilities Techs and/or completes repair work and projects in a timely manner.  

  • Oversees all contractors that work in the facility and grounds. Responsible for requesting, reviewing bids and recommending selection of contractors.  

  • Oversee and maintain Grace Chapel emergency alert system, security camera system and announcements. 

  • Provide cooperative scheduling of maintenance, room set-up, cleanliness, and temperature control, with all departments for normal requests, special events, and rentals. 

  • Assist in activities and special events as directed by Supervisor.

Required education and training requirements 

  • High School Diploma and 5+ years' experience in Facilities Management 

  • Mechanical skills and knowledge of electrical, plumbing, HVAC and other building systems 

  • Excellent communication and interpersonal skills, including the ability to speak with all levels of employees, guests, vendors and team members. 

  • Ability to manage multiple projects simultaneously.  

  • Great time management, organization and prioritization abilities 

  • Keen attention to detail and effective problem-solving skills 

  • Certified Facility Manager (CFM) credential, or equivalent preferred 

  • Experience planning and maintaining facility budgets 

  • Professional leadership and contract management experience 

  • Must have a valid driver’s license 

  • Excellent knowledge of Windows Suite, including Word, Excel and Outlook. Ease with using spreadsheets to plan budgets or organize information, ability to use videoconference tools, and comfort with problem-solving issues that arise in building maintenance software. 

  • May be required to work nights, weekends, and holidays. 

  • Sunday’s or “Sunday Mornings “are required work days (Or Working as part of a Sunday facilities rotation required.) 

  • Ability to respond effectively and graciously to urgent safety and emergency situations.  

  • Ability to work independently as well as within teams. 

  • Extremely reliable, dependable, and punctual. 

  • Excellent decision-making skills, time management skills, ability to take initiative, and be flexible 

 

PHYSICAL DEMANDS 

While performing the duties of this job, the employee fully mobile. He/she will be required to, but not limited to the following activities: full-reach overhead; work in narrow and/or confining spaces: underground, overhead, and at ground level; twist at the waist, shoulders, and legs; lie on stomach and/or back, climb stairs, bend, stoop, kneel, reach with hands, sit, stand for an extended period of time, climb ladders up to 30’, walk, shovel snow, lift and/or move up to 50 pounds, have finger dexterity, grasp, perform repetitive motions, talk, hear, and have visual acuity. 

The work is performed both indoors and out and will require travel to various locations. While performing the duties of this job the employee is exposed to weather conditions prevalent at the time. 

Ability to work in conditions that will create dirt and dust. 

Ability to work with paint, cleaning equipment, chemical compounds, solvents, cleaners, and solutions in dry, liquid, powder, spray, and aerosol forms. 

Ability to perform essential maintenance to facility or equipment and operate motorized equipment.
