KEY DUTIES AND RESPONSIBILITIES

The Missions Coordinator supports the Director of Missionaries and Mobilization and the Missions Trip Project Manager by managing key processes, ensuring task follow-up, and facilitating communication with missionaries, short-term trip teams, and leaders. This role also assists with mission-related events, projects, and administrative tasks. The Missions Coordinator will be responsible for the following:

Coordination & Administrative Support: Missionaries

  • Support the administrative processes for missionary care and short-term trips (ENGAGE Teams).
  • Coordinate necessary tasks (e.g., background checks, consent forms, liability forms, and deadlines) with team members.
  • Assist the volunteer leaders of local ENGAGE Teams by coordinating materials, meeting spaces, and participation opportunities.
  • Short-Term Team Communications, Prayer, and Event Support.
  • Coordinate missionary participation during Missions Week, including scheduling, accommodations, and communication.
  • Document and distribute minutes and manage notes and tasks from missionary meetings.
  • Conduct weekly check-ins with the Director of Missionaries and Mobilization to review progress and plan upcoming tasks.

Coordination & Administrative Support: Short Term Trips

  • Manage trip processes (e.g., STEP registration, visas, passports, welcome kits, photo collections, and team leader appreciation).
  • Assist in short-term trip prayer strategy, organize prayer meetings, send-off events, and prayer calls for short-term trips.
  • Assist with missionary applications, onboarding, and payment processing.
  • Provide logistical support for mission events (e.g., ENGAGE Expo, Missions Sundays, and Commissioning Services).
  • Conduct weekly check-ins with the Missions Trip Project Manager to review progress and plan upcoming tasks.

Software & Systems Application

  • Utilize tools like Podio, Basecamp, MailChimp, and CCB for communication, tracking, and project management.
  • Initiate digital training modules and update landing pages.

General

  • Maintains confidence and protects operations by keeping information confidential.
  • Maintains professional and technical knowledge.
  • Other duties as assigned.

Qualifications

PROFESSIONAL AND SPIRITUAL EXPECTATIONS

  • Education requirements: High School Diploma, further education preferred.
  • Experience required: Relevant administrative experience of 2+ years
  • Must be proficient in Microsoft Word, Excel, and PowerPoint, and bulk email software such as MailChimp.
  • Strong organization skills and attention to detail with the ability to improve processes.
  • Skilled in written communication and keyboarding (copy-editing preferred)
  • Good time management.
  • Aptitude to learn software to manage projects, schedule events, track data, etc.
  • Has a passion for making Jesus known. 
  • Demonstrates a sincere interest in the total scope of the ministry.
  • Exhibits a meaningful and growing personal relationship with Jesus Christ as Lord and Savior as evidenced by the manifestation of the fruit of the Holy Spirit.
  • Has a commitment to personal and active participation in the fulfillment of the Great Commission (Matthew 28: 18-20)
  • Exhibits a lifestyle appropriate to a person in public Christian ministry by conducting life with the utmost integrity in all situations.
  • Consistent attendance and participation in Grace Church and involvement in the life of the church.
  • Flexibility for evening and weekend assistance and Missions Events as needed.
