POSITION SUMMARY: The Contract Administrator is responsible for the creation and monitoring of all aspects of the contract process for all active and future contracts at Rocky Mountain Health Care Services (RMHCS). This position has a high level of interaction with management, potential vendors and providers, which includes establishing and maintaining relationships and ensuring the satisfaction of all parties involved in the contract process.

RESPONSIBILITIES AND DUTIES:

ESSENTIAL JOB FUNCTIONS:

  • Works with RMHCS Leadership to develop contractual relationships with service providers/vendors, such as negotiating rates and draft contract agreements.  Negotiates effective contracts with both professional and institutional vendors on behalf of RMHCS, and amends contracts as needed.
  • Conducts phone contact and in-person meetings with possible providers to educate them about RMHCS and start the contract process.
  • Conducts appropriate follow-up with pending providers to ensure timely implementation of contracts.
  • Initiates the research and draft of new contracts, amendments, addendums with the help of the Contract Manager and other members of RMHCS management as needed.
  • Ensures the Federal Preclusion list report is conducted by the 1st of every month.
  • Oversee the entire contract process from drafting, reviewing, executing and maintaining contract files.
  • Vet potential contracted providers for CMS preclusions and exclusions prior to negotiating a contract.
  • Responsible for establishing and maintaining complete contract files, including the contract database, to ensure compliance and accuracy including HIPAA, credentialing and other relative contract documents are in files as required.
  • Addresses and completes tasks in contract database before the task due date.
  • Responsible for establishing and maintaining complete Contracted Community Provider (CCP) files and ensuring accuracy.
  • Responsible for maintaining the Task Tracking Sheet to ensure that all contract documents, contact information and notifications to stakeholders are completed before the contract is fully executed.
  • Upload new contracts, addendums, and W-9 into the Cobblestone database.
  • Gathers all parties relevant to the specific contract to present gathered research, data and other important information about contracting with RMHCS as needed.
  • Creates and maintains Provider Manual, orientation presentation, and any other documents for contracted providers as needed.

•    Works with the Contract Supervisor and Senior Manager -Procurement & Contracts to gather all needed data for effective communication, timely renewals, etc. to ensure the satisfaction of both parties

  • Responsible for the new contractor initial provider orientation training for all contracted providers to ensure contract compliance and adequate education to the contractor.
  • Ensures contract compliance with state, local and federal regulations.
  • Meets with Contracted Community Providers (CCPs) for periodic observation, review and monitoring per CMS regulation timeframes and conduct follow up, as necessary, if the Corrective Action Plan is warranted. Notifies all appropriate parties of correction action and monitors corrective action to satisfactory resolution.
  • Credentialing of individual contract entities every three years and ensures that all credentialing documentation is stored appropriately.
  • Reviews and renews contracts on an annual basis according to contract expiration date.
  • Manage complaints from contracted providers.
  • Develops and sustains professional relationships with vendors, providers and internal customers, and acts as a liaison between these parties.  Assists in ensuring satisfactory outcomes of both parties through the communication of gathered data.
  • Other duties as assigned.

 

Qualifications

  • Bachelor’s degree in business or related degree preferred.
  • Minimum of (1) years’ experience with contract execution and administration required. Two-three (2-3) years preferred. Five to seven (5-7) years of experience accepted in lieu of degree.
  • Skilled in establishing and maintaining effective working relationships with participants, co- workers, vendors, medical staff, and the public.
  • Strong written and verbal communication skills in relation to the drafting contracts
  • Excellent computer skills and be proficient with MS Word, Excel & Outlook
  • Excellent organizational and time management skills as well as attention to detail
