Description

The Scarritt Bennett Center is a nonprofit conference, retreat, and education center in Nashville, TN. Our mission is to create a space where individuals and groups engage each other to achieve a more just world. We are hiring for a part time Front Desk Associate at the Welcome Center to work approximately 14-20 hours weekly.

 

Goal/Purpose: The Welcome Center is the “hub” of Scarritt Bennett Center and the first impression to our guests who are here participating in one of our educational programs, staying overnight, attending a conference or one of our many other activities. Scarritt Bennett Center creates space where groups and individuals engage each other to achieve a more just world. The Welcome Center is a place that welcomes and assists community members when they come to grow and share in our principles. Our goal is to deliver the highest level of customer service and hospitality to each guest who calls, e-mails, or walks through our door.

 

Responsibilities:

1. Serve our mission by providing exceptional customer service and hospitality to all guests.

2. Perform all daily morning or evening tasks as prescribed.

3. Maintain area (Welcome Center and Lobby) so it is acceptable to the public and guests, ensuring maps/brochures are stocked and up to date.

4. Responsible for answering/transferring all incoming calls and checking voicemail for the Center.

5. Stand and greet all guest(s) upon their arrival to the Welcome Center.

           a. Answer guest’s questions, make them feel at home and build on-going relationships.

           b. Convey necessary orientation information to guest(s) so they are familiar with the campus, history,

amenities, and services offered. This will involve learning the institutional history and becoming a storyteller for guest(s) and potential guest(s).

           c. Offer basic concierge services by maintaining ongoing knowledge of Nashville’s attractions, restaurants,

and events.

           d. Respond to guest(s) questions or problems in a timely, professional manner.

6. Respond to guest(s) needs, questions or concerns in a timely and professional manner. This may include assisting with access to meeting spaces, simple A/V needs, residential lockouts or finding appropriate staff to assist them.

7. Utilize the organizations data system to pull reports and assist with on campus lodging or meetings.

8. Work with other team members with setting up or cleaning meeting spaces as needed.

9. Report all incident(s) to Director.

10. Other duties and projects as assigned.

Qualifications

What Makes You Qualified? 

·        Experience in customer service preferred

·        Able to organize and prioritize use of time. Is an excellent multi-tasker with the ability to bring tasks to completion under time constraints and in an environment where there may be multiple interruptions.

·        Good verbal and written skills.

·        Experience and comfort in learning and using common technology and equipment such as computer, copier, fax, and multi-line phone, to perform responsibilities.

·        Intermediate level knowledge and skill in using Microsoft Office Suite Products including Word, Excel, Outlook, Publisher, and PowerPoint.

·        Demonstrated understanding of and ability to use developed database programs to enter data, look up information, and generate reports, as this position requires the use of a data system.

·        Can work independently but is comfortable working as part of a team.

·        Must have means of transportation

·        Can set and keep boundaries including respect the privacy of others, refrain from gossip, and keep confidential matters to her/himself.

 

Working Conditions and Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit and / or stand for extended periods of time, use office equipment, use hands in a repetitive motion, walk up and down stairs, bend, stoop, talk and hear. Specific vision abilities required include close vision, depth perception and ability to adjust focus. Some lifting and carrying of items up to 50 pounds may be required. The employee will work in a shared space. The noise level is usually quiet. A background check and drug screen will be conducted. Masks are required inside all buildings regardless of vaccination status.  

Availability Needs:

The Welcome Center is staffed based upon the needs and activities offered by the Scarritt Bennett Center. The Welcome Center may be open from 7am to 10pm based upon the daily schedule. Daily work shifts are within these time frames.
